- Greet visitors, confirm appointments, and set up conference rooms.
- General office duties such as answering phone calls, incoming/outgoing mail, office correspondence, ordering business cards/office supplies, etc
- Serve as the first point of contact for local office support functions and become the resident expert for regional and company-wide support
- New vendor set-ups
- Manage Subcontractor set ups and invoicing
- Process invoices through Perceptive Content
- Pick up mail and sort; scan documents to appropriate departments
- Maintain detailed communication with incoming and outgoing shipping
- Lead and track the Service Departments AP and AR
- Collection and maintenance of customer contact and relevant information
- Code expense reports, invoices, and credit cards through system and manage any reimbursement requests and payroll deductions as needed
- Collect and prepare insurance certifications
- Assist the IT department with equipment setups for field/office personnel
- Coordinate travel and lodging accommodations through for field employees
- Coordinate office events, new hire orientations, visitor lunches and trainings
- Manage inventory levels for office/printing/shipping supplies
- Maintain office/meeting rooms organization and cleanliness
- Manage accounts for building maintenance
- HR support for workforce coordinator as needed.
- Assist in Project close outs, review scopes and specification requirements and maintain timely communication with general contractors
- Other projects and assignments as required
- Skilled oral and written communication; Bilingual in Spanish a plus
- Minimum of 2 years’ experience in an administrative/management role
- Customer service oriented
- Organized, detailed and efficient
- Ability to learn new software and programs
- Proficient with MS Office (Word, Excel, Outlook)
- Strong time management and organizational skills
- Ability to multitask and work in a fast paced, team environment
