We are seeking a highly organized and proactive Executive Assistant & Office Administrator to support executive leadership while ensuring the smooth day-to-day operations of the office. Key Responsibilities:
Executive Support:
- Manage and prioritize executive calendars, scheduling meetings, appointments, and travel arrangements
- Provide administrative support such as preparing reports, completing applications, creating presentations, managing correspondence, and other tasks as needed
- Act as a liaison between executives and internal staff and external connections and handle confidential and time-sensitive information with absolute professionalism
- Assist in coordinating meetings, leadership offsites, and special projects
- Conduct research and compile data to support decision-making processes
- Monitor and prioritize emails, calls, and requests for executives
Office Administration Duties:
- Oversee general office operations, ensuring a well-maintained and efficient work environment
- Serve as the first point of contact for visitors, greeting guests and answering and directing phone calls with professionalism and hospitality
- Manage office supplies, equipment, and vendor relationships to maintain smooth business operations
- Support marketing and PR efforts for the company and brands
- Distribute mail and handle shipping/receiving duties.
- Coordinate onboarding and administrative support for new employees
- Maintain filing systems and records for easy access and retrieval of documents
- Organize and oversee company events, meetings, and team-building activities
- Process expense reports, invoices, and assist with budget tracking
- Support HR with employee records, benefits administration, and compliance documentation
- Coordinate with IT an Facilities to maintain office operations across the company
Qualifications & Skills:
- Bachelor’s degree in Business Administration, Communications, or related field preferred.
- 3 years in an executive assistant, office management, or administrative role.
- Proficiency in Google Suite, Microsoft Office, Adobe products, and project management tools. Familiarity with financial accounting programs a plus.
- Extreme attention to detail with a proven ability to multitask and manage multiple projects without direct oversight.
- Strong time management and prioritization skills, ensuring deadlines are met without executive intervention, and the ability to hold peers accountable to requests and needs
- Exceptional written and verbal communication skills, with the ability to draft professional correspondence and presentations.
- A proactive mindset with the ability to independently solve problems.
- Strong interpersonal skills, with the ability to build relationships and communicate effectively across all levels of the organization.
- High level of discretion, trustworthiness, and professionalism in handling confidential matters.
