High-Level Job Description:
Under the supervision of an Account Director on the Agency staff, the Account Coordinator will assist with creating, managing, and delivering Client marketing programs. Account Coordinator responsibilities include working closely with FlyteVu Account leads to manage the Client relationship day-to-day, researching and brainstorming marketing campaigns. You will perform various Account team support functions such as general research, Talent research and vetting, data pull, ideation/brainstorming, and coordination tasks like organizing travel details, maintaining project documentation, and handling invoices and reporting.
To succeed in this role, you should have excellent time management, prioritization, and communication skills. You’ll collaborate with clients and internal teams to deliver results on deadlines.
Detailed Job Description/Responsibilities:
- Cultivate and maintain key relationships with FlyteVu accounts, agency partners, 3rd parties, vendors, and other partners as needed to execute campaigns and create new opportunities for clients/ prospects
- Coordinate meetings, calls, and travel for the Account Management team
- Research prospective Clients or Talent
- Actively participate in team brainstorming and strategy sessions, engage in independent research as needed or assigned
- Proactively communicate with clients daily in a professional, efficient manner
- Attend to the needs of the client and continually seek ways to add value to the client-agency relationship
- Make sure that the client's needs are met as projects evolve
- Prepare and own account service-related documents such as meeting agendas, meeting reports, project trackers, timelines, proposals, decks, and other client communications and correspondence
- Support shared services teams with administrative tasks related to accounts and projects, such as scheduling and invoicing
- Assist with talent vetting, research, and tracking related to accounts and projects
- Develop and grow knowledge of the assigned client business and its competitive landscape
- Maintain a pulse on key music, pop culture, and entertainment industry news and actions
- Assign tasks to internal teams and assist with schedule management
- File & organize needed documents within agency software & systems
- Must be able to effectively communicate internally and externally in a manner consistent with the company’s Code of Conduct and core values
- Handle and safeguard confidential and proprietary information
- Assist with on-site activation and fulfillment of client programs, which require that employees:
-Must be able to travel without restriction (including the day of the week)
-Must be physically able to lift heavy objects to 50 lbs and load/unload, set up
and tear down, etc.
-Must pass a background check

Required Competencies/Skills:
- 2 years of work experience, including at least 1 year of experience in marketing or a related field
- Must have a problem-solving mentality

- Entrepreneurial self-starter with the ability to work with ambiguity at times
- Ability to think ahead independently and challenge oneself to learn and grow

- Must be able and willing to work during non-business hours as needed or required to fulfill job requirements
- Must be willing to work from the office a minimum of three days per week (Mondays, Tuesdays, and Wednesdays), and up to five days a week as needed and determined by the Company
- Proficient in the use of MS Office Suite, Apple Keynote

- Experience with Basecamp or other Project Management Software
- Experience with time-tracking software
- Experience with Google Drive or similar file management software
- Must have the ability to remain poised, composed, and professional when interacting with celebrities, high-profile individuals, and VIPs
Education Required:
Minimum of a Bachelor’s Degree in Marketing, Communications, or a related field.
