Job Title: Facilities Coordinator
Location: Allston, MA
Salary: Up to $70K per annum ($33.65 per hour)
Job Type: Full-time, Onsite (5 days a week)
About the Role: We are seeking a highly organized and detail-oriented Facilities Coordinator (Contract Support Associate) to join our clients team in Allston, MA. This role will support a prestigious biotech client and offers an opportunity to manage various facilities functions, including customer service, financial reporting, workflow administration, and vendor coordination. The ideal candidate will have a strong financial background with advanced Excel skills and experience in facilities management, vendor management, and account governance.
Key Responsibilities:
- Provide front-line support for facilities-related issues and service requests from internal teams and clients.
- Ensure timely resolution of requests to maintain operational efficiency.
Workflow & CMMS Administration:
- Manage and maintain the Computerized Maintenance Management System (CMMS).
- Ensure all workflows are processed efficiently and that data is accurately recorded.
Finance Administration:
- Handle financial reporting, including data analysis and financial record-keeping.
- Utilize advanced Excel skills to perform data dumping, reporting, and analysis, including the use of VLOOKUP and other financial functions.
Account Governance & Administration:
- Assist in maintaining compliance and governance for all account-related tasks.
- Support the management and execution of account deliverables.
Supply Chain and Vendor Coordination/Management:
- Coordinate with vendors and suppliers to ensure that facilities services and supplies are delivered on time and meet quality standards.
- Manage relationships with external vendors, ensuring performance meets contract terms.
Qualifications and Experience:
- Minimum of 3 years of experience in financial reporting, data analytics, and using advanced Excel functions, including formulas and VLOOKUP.
- Strong background in facilities management, account governance, or vendor coordination.
- Previous experience with CMMS systems is highly desirable.
- Excellent customer service skills with a proactive approach to resolving issues.
- Highly organized with strong attention to detail and the ability to manage multiple priorities.
- Strong communication skills and the ability to work effectively with both internal teams and external partners.
Additional Skills:
- Familiarity with supply chain and vendor management processes is a plus.
- Ability to work independently in a fast-paced environment.
- Experience with financial systems and reports is preferred.
