Summary of responsibilities: This position is responsible for assisting the advisors with scheduling, client relations, and experiences.
Principal responsibilities
- Coordinate aspects of client meetings/prepare meeting reports
- Work the front desk, welcome and greet clients, and coordinate meeting room schedules
- Perform merges for mailings, as directed by advisor
- Assist in organizing an annual client appreciation event; coordinate all aspects of the event
- Coordinate production and mailing of bi-monthly market updates
- Maintain and update the firm’s informational brochures and other firm stationery
- Update CRM system with prospect names
- Use CRM system to maintain regular contact with clients
- Manage and update the firm’s website and social media accounts
- Track all referrals and thank all those who have made a referral
- Anticipate advisor’s needs and handle them proactively
- Make suggestions to systematize and improve firm’s review processes and marketing tactics
- Support special projects for the firm as needed
Required knowledge/skills/competencies
- An amazing attitude and extraordinary customer service skills
- Outstanding computer skills and Microsoft Office suite (Word, PowerPoint, and Excel)
- Ability to think conceptually and exceptional attention to details
- Excellent organizational and time management skills
- Ability to handle multiple tasks, operate under tight deadlines, and prioritize appropriately
- Willingness and ability to learn new skills and subject matter
- Enjoy interacting with people face-to-face and over the telephone
Additional Long-Term Roles
- Learn to process business (investment accounts, insurance, etc)
- Ongoing client service, updating accounts, money movement
- Schedule meetings and reviews for advisor
- Manage review schedules
- Update CRM
Job Type: Part-time
Pay: $15.00 - $20.00 per hour
Expected hours: 25 – 40 per week
Schedule:
- Monday to Friday
- No nights
- No weekends
Work Location: In person
Salary : $15 - $20
