What are the responsibilities and job description for the Administrative Assistant position at Fond du Lac County, WI?
ESSENTIAL FUNCTIONS :
- Collects new hire documents, assembles and keeps in-house personnel files updated.
- Maintains confidential personnel documents including: performance evaluations, disciplinary actions, leave of absence requests and social worker licensure.
- Distribute copies of signed performance reviews.
- Tracks social work licenses for compliance.
- Processes and tracks agency purchase of service contract files. Ensuring all required documents are on file for each contracted provider.
- Designs and prints numerous agency brochures as directed using various software programs.
- Collect year-end data from division contacts for the annual report. Create, edit and review annual report as well as ensure timelines are met for the distribution to the Social Service Board, County Board, County Executive, County Clerk and other interested parties.
- Prepares and prints training completion certificates for unit leaders.
- Takes notes for department, division, and state meetings.
- Prepares and distributes agendas and minutes for agency meetings and committees.
- Creates yearly social work on-call spreadsheet and updates as needed.
- Schedules and presents onboarding presentation for new staff.
- Tracks workers compensation injury forms and provides the county Risk Manager copies.
- Assist Director, Division Managers with tasks and projects as needed.
ADDITIONAL ESSENTIAL DUTIES:
- Cross trained in other Administrative Assistant duties in order to provide back-up coverage in their absence
- Cross trained in Program Assistant duties in order to provide back-up coverage in their absence
- Performs other related duties as may be assigned
REQUIRED EDUCATION, EXPERIENCE, TRAINING, AND CERTIFICATION:
- High School Education
- Three (3) or more years of progressively responsible office experience involving use of advanced skills.
- Valid driver's license and the ability to travel between work locations
- Prior to hire, a background check including criminal record history will be conducted. Information from the background check will not necessarily preclude employment but will be considered in determining the applicant's suitability and competence to perform in the position.
OTHER REQUIREMENTS:
- Access to a motor vehicle
- A minimum of $250,000/$500,000 auto liability insurance coverage verified upon hire and at renewal by providing a copy of the declaration page of your policy from your insurance carrier.
