The Bilingual Front Desk Receptionist/Administrative Assistant serves as the first point of contact at the Raleigh Branch, creating a welcoming and professional environment for visitors, donors, Food Bank employees, and community members. This role includes greeting guests, answering calls, assisting with emergency food, directing visitors to the appropriate staff and resources, and handling various administrative tasks. The Front Desk/Administrative Assistant will be friendly, highly organized, culturally sensitive, and able to multitask in a fast-paced environment.
This is a full time onsite (in person) position working 8:30 am - 5:00 pm working.
Job Responsibilities:
Front Desk and Emergency Food Assistance (60%):
- Be present at the Raleigh front desk location to greet all visitors and callers in-person and on the phone in a welcoming and professional manner and direct visitors and callers to the appropriate point-of-contact or provide requested information.
- Provide emergency food assistance and resources in a dignified and thorough manner to neighbors in need while distributing the most up to date emergency food resources list.
- Serve as an interpreter for staff and/or visitors as needed, ensuring clear communication while maintaining cultural sensitivity with diverse populations.
- Manage visitor check-in procedures, maintain visitor logs, and ensure that security protocols are followed.
- Oversee the front desk and lobby area to ensure it remains organized and presentable.
- Accepts and receives walk-in donations.
Office Support (30%):
- Key contact for conference room requests and reservations.
- Assist with coordinating staff events, lunches and celebrations.
- Accept mail and deliveries and ensures all incoming parcels are distributed to the appropriate team member in a timely manner.
- Serve as the primary operator and owner of the reception area office equipment, including troubleshooting issues and coordinating service.
- Monitor, maintain and order office and breakroom supplies within budget and maintain an updated list of standard supply items.
Administrative Support (10%)
- Support the Executive Assistant and People Experience Team with onboarding, interviews, and administrative tasks.

Qualifications:
Education & Experience
- High school diploma or GED required; Associate degree preferred.
- Minimum of 3 years of office management or administrative experience, or an equivalent combination of education, certifications, and experience.
- 2–3 years of experience in an administrative role demonstrating the ability to manage multiple priorities effectively.
- At least 1–3 years of experience using Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, etc.).
- Experience in a nonprofit setting, trained in CPR and First Aid, Mental Health First Aid, and/or Crisis intervention or de-escalation is preferred.
Language Skills
- Must be fluent in both English and Spanish, with the ability to interpret verbal and written Spanish to effectively communicate with clients and community members.
Administrative & Communication Skills
- Excellent written and verbal communication and interpersonal skills.
- Strong customer service mindset with the ability to communicate professionally across various platforms (email, phone, text, presentations, in-person).
- Strong organizational skills and high attention to detail.
- Ability to multi-task and manage time effectively with minimal supervision.
- Demonstrated initiative and the ability to work independently and efficiently.

Work Environment:
- While performing the responsibilities of the job, the employee is required to work in an office setting. The employee will be required to interact with Food Bank personnel in the warehouse. In doing so, the employee will occasionally be exposed to moving mechanical parts and vehicles.
- The noise level in the work environment is usually quiet to moderate.
- Occasionally, the employee will be required bend, stop, twist and reach at or below shoulder level.
