Position Summary

This position will support all work associated with ensuring that student and client information and outcomes are entered into appropriate databases in an accurate and timely manner. This role will be responsible for working collaboratively throughout the organization to ensure data collection and reporting supports strategic and development goals. This role includes maintaining an understanding of current and new sources of funding and scholarships as well as maintaining and updating all information regarding student placement and long-term tracking; development and maintenance of relationships with organizations and agencies who provide student referrals and funding. This is a Safety Sensitive position.

Major Responsibilities and Essential Functions

· Develop and maintain a strong understanding of all FBD programs and data collection and tracking platforms, including but not limited to Apricot, Service Insights and P2.

· Ensure client tracking is consistent across FBD programs and platforms whenever possible. Seek to identify efficiencies across systems to eliminate duplicate work.

· Provide technical support to FBD staff and external partners to support accurate and timely data collection and input. This includes the development and maintenance of guides and manuals as needed.

· Maintain an understanding of the data entry requirements of databases used by various funders and partners, including but not limited to Services Insights, Department of Labor’s Joblink and National Restaurant Association Educational Foundation’s CaseMGR.

· Creating and keeping current documents that are easily accessible by all FBD staff, with the information stated above and providing reports as necessary, both internally and externally.

· Regularly audit all systems for data integrity and accuracy.

· Delaware Food Works:

o Review all potential candidates for training programs’ application data to ensure all criteria for potential funding have been met and documented. Ensure the appropriate and accurate entry of all information and proof all data prior to submittal to relevant databases or agencies.

o Determine potential participant eligibility, administer assessment of the academic and skill levels, service and development needs of the potential participants

o Identify potential participants’ eligibility for funding, and ensuring funding is approved prior to the start of training

o Responsible for ensuring that applicant, student and alumni data collection and entry is completed in a timely and accurate manner in both FBD’s internal database and those of partners and funders. These include:

§ Ensuring students’ progress and any relevant data points are recorded, including job placement information, student tracking information, work experience information, expenses related to students and formalized intake and exit survey information.

§ Ensuring alumni outcomes are collected and recorded on timelines required by FBD and funders.

o Responsible for establishing and maintaining strong working partnerships with other relevant organizations and agencies to solicit student referrals, funding sources.

o Develop and maintain relationships with all student referral organizations (DOL/DVR, etc.) ensuring that DFW stays in compliance with all student referral agencies rules and guidelines, including all formal and informal reporting, meeting with agencies as requested, and a contact for all counselors regarding general student information as well as all financial (billing and payment) information.

· Responsible for working as part of a team as well as being able to work independently in all aspects of the position.

· Collaborate with appropriate staff regularly to ensure timely and accurate completion of all tasks.

· Collaborate with leadership to identify how data collection and reporting can support strategic and development goals.

· Perform other duties as assigned.

Qualifications and Experience

· An Associates degree is preferred with at least two to four years of data entry or database management experience required.

· Experience with Delaware Joblink preferred

· The ability to work independently but also as a member of a small team is needed.

· Strong ten key and typing ability is required.

· Demonstrated ability to work with diverse groups of people.

· Keen attention to detail is required.

· Strong written and oral communication skills.

· Strong process orientation and the ability to maintain all student information in a safe and confidential manner.

· Certified to administer the CASAS and TABE or ability to be certified within 3 months of employment.

· Exemplary customer service skills.

· Comfortable speaking to groups of people. Strong interpersonal skills.

· Demonstrated ability in both written and verbal communications and listening skills.

· Solid acumen in the Microsoft Office suite of programs.

Physical Requirements

· Working at a computer workstation, generally with a monitor, will be required

· Occasional exposure to warehouse and commercial kitchen environments

· Protective equipment must be worn when and where required

· May require sitting, bending, lifting (up to 20 pounds), squatting and other minimal physical activity
