Position Summary: The Administrative Clerk plays a vital role in ensuring the smooth operation of front-end support and services while delivering exceptional customer service to the public and volunteers. This position is responsible for greeting and assisting visitors, providing frontline phone and e-mail support, helping others navigate available resources, and providing general administrative support for all departments across the organization. Essential Duties and Responsibilities:
· Greet customers in a friendly and professional manner
· Assist customers with inquiries, providing clear and accurate information
· Address customer concerns with genuine care and resolve issues promptly
· Process incoming public food donations, ensuring accuracy of inventory recordkeeping
· Manage incoming calls, e-mails, and direct customers to the appropriate staff member as needed
· Maintain front desk operations, ensuring a welcoming and professional environment
· Update customer records and ensure accurate data entry into relevant systems
· Provide clerical support by preparing administrative documents such as forms, reports, and correspondence
· File and maintain records in an organized and accessible manner
· Perform general office duties such as photocopying, scanning, and faxing as needed
· Monitor and maintain office supplies and materials inventory
· Work closely with all departments to ensure efficient processing of customer requests and inquiries
· Maintain positive relationships with customers, volunteers, and agency partners to ensure high satisfaction levels
· Support team members with administrative tasks as required
· Other duties as assigned

Specific to Position
· High school diploma or equivalent; Bachelor's degree preferred
· 3 years of proven experience in a customer service or administrative role
· Additional administrative or customer service certification is a plus
· Basic computer skills with proficiency with office software (Microsoft Office, Google Suite, etc.)
· Excellent verbal and written communication skills, attention to detail, and organizational skills
· Friendly, professional demeanor with a strong customer service mindset
· Ability to manage multiple tasks, priorities, and deadlines
Working Conditions & Physical Requirements: The Administrative Clerk will generally perform essential duties indoors and be subjected to moderate noise levels. Employee must be able to sit and use hands to handle or feel, reach with hands and arms, and talk and hear. The employee is occasionally required to stand, walk, climb, or balance and stoop, kneel, crouch, or crawl. The employee must frequently lift or move up to 10 pounds and occasionally lift or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.
