The Food Farm Exploration Center (F FEC), in partnership with Farming for the Future Foundation, is a 501(c)(3) nonprofit organization dedicated to educating current and future generations about agricultural innovation and sustainability. Position Overview
The Office Assistant plays a key role in ensuring the efficient operation of the office by providing essential administrative support. This role reports to the Executive Office Manager and includes scheduling meetings, organizing files, responding to routine communications, and managing office supplies. The Office Assistant serves as a point of coordination, streamlining communication between team members and monitoring deadlines to ensure tasks are completed in a timely manner.
Essential Responsibilities
- Schedule and coordinate meetings, ensuring all participants are informed and prepared.
- Organize and maintain physical and digital filing systems.
- Manage office communications, including responding to emails, phone calls, and other routine inquiries.
- Monitor and manage office supplies, ensuring stock levels are maintained and replenished as needed.
- Assist in maintaining calendars and tracking deadlines to ensure smooth workflow.
- Support office staff with various administrative tasks to promote efficiency.
- Ensure that office equipment (e.g., printers, copiers, computers, and phones) is in good working order.
- Assist with basic accounts payable and accounts receivable tasks.
- Provide assistance with simple human resources tasks.
Qualifications & Experience
- Strong organizational and multitasking skills.
- Effective communication skills, both verbal and written.
- Proficiency in MS Office.
- Attention to detail and the ability to manage time efficiently.
- Experience in an administrative or office support role is preferred.
Physical Demands
- Able to stand and sit for long periods of time.
- Physical requirements include but are not limited to stooping, kneeling, bending, standing, squatting/crouching, crawling/kneeling, pushing/pulling, climbing (ladders), reaching above the shoulders, lifting of up to 25lbs.
