About Us:

Foods of Vail is a premier catering company known for its variety of culinary offerings, deep local ties, and outstanding customer service. We are looking for an organized and proactive Business Operations Manager to oversee daily operations at our Avon location. The ideal candidate will be detail-oriented, a strong multitasker, and possess excellent communication skills. Proficiency in Canva, Squarespace, and Caterease is a plus.


Role Overview:

The Business Operations Manager will be responsible for ensuring the smooth operation of our business by overseeing office logistics, event management, staffing, and marketing initiatives. Reporting directly to the Owner, you will play an important role in managing customer interactions, coordinating events, supporting the culinary team, and assisting with sales and marketing efforts to drive business growth.


Key Responsibilities:


Operations Management:

  • Oversee the daily administrative functions, ensuring coordination between the office, kitchen, and deli.
  • Handle minor accounting tasks, including invoicing, payroll, and basic financial reporting.
  • Maintain accurate records, both in-store and within our catering database.
  • Ensure the cleanliness, organization, and merchandising of the shop, and manage inventory to meet operational needs.
  • Provide customer service, addressing inquiries and resolving issues in a timely manner.


Event and Order Coordination:

  • Client Engagement: Respond promptly to client inquiries via phone and email
  • Event Management: Input event details into the system, adjust menus, and update client accounts and documents as needed.
  • Vendor & Supplier Coordination: Contact external vendors (e.g., rental companies, liquor suppliers) to ensure all event needs are met.
  • Staffing: Assign staff to events and duties, ensuring clear communication of roles and logistics.
  • Event Tracking: Ensure all event details are posted and communicated clearly to the kitchen and staff, with any last-minute changes addressed in real-time.


Marketing & Sales:

  • Social Media: Manage social media platforms (Instagram, Facebook, Twitter), showcasing events, specials, and behind-the-scenes content to build brand awareness and boost where effective.
  • Email Communication: Send daily "Soup of the Day" emails with creative, seasonal designs to engage clients and promote our offerings.
  • Website Management: Regularly update and maintain the company website to ensure content is fresh, accurate, and aligned with marketing goals.


Qualifications:

  • Proven experience in business operations, event management, or a related field (hospitality or catering experience is a plus).
  • Strong organizational skills, with the ability to manage multiple tasks and deadlines effectively.
  • Good written and verbal communication skills.
  • Ability to handle client inquiries and concerns with professionalism and a customer-focused approach.
  • Proficiency in Microsoft Office, social media platforms, and familiarity with Caterease and Squarespace (or willingness to learn).
  • Experience in managing staff, coordinating events, and liaising with vendors is preferred.
