Under the direction of the Registrar, the Admissions Coordinator is responsible
for leading the admissions processing staff and overseeing the admission process for
prospective students, including domestic and international applicants. The coordinator
assists with the SEVIS (Student and Exchange Visitor Information System) processes for F1
Visa students, ensuring compliance with federal regulations and providing support
throughout the admissions journey. The Admissions Coordinator works closely with the
Registrar to manage the flow of information in and out of the area, including regular
communications and collaboration with other enrollment service departments and
academic departments. In addition, the Coordinator performs tasks related to registration,
transfer credit, and graduation.
Minimum Qualifications

Required:
- Bachelor’s degree in Education, Business, or a closely related area
- Minimum of 3 years of experience in admissions or a related field
- Functional knowledge of integrated software systems (Colleague, Informer,
Peoplesoft, MyForsythTech, etc.) - Proficiency in admissions software and databases
- Experience utilizing CRM software for communication with prospective students
Preferred:
- Master’s degree in Education, Business, or a closely related area
- Five years of closely related experience in a community college or university
- Previous experience with Colleague, Ellucian, or other student information systems
- Knowledge of SEVIS and F1 Visa regulations
- Experience working with international students Multilingual abilities
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
Admissions Management:
Admissions Management:
- Coordinate and manage the admissions process for all prospective students. Provide guidance to applicants regarding admission requirements and procedures.
- Collaborates with leadership and staff to develop and/or implement policies and procedures in consultation with other Student Success Services departments, Instructional Services, and Business Services divisions.
- Extracts, converts, enters, updates, and/or indexes incoming admission applications and related applicant information in applicable school systems using computerized admission and scanning software.
- Ensure valid residency (RDS) and work with students to resolve issues (i.e., expired RDS, mismatched SSN, name or date of birth, etc.)
- Reviews and verifies all records and submissions for accuracy, completeness, and compliance with established admissions standards and procedures.
- Provide updates, recommendations, and changes to admission criteria, policies, and procedures.
- Supervise Admissions Technician Staff and develop and deliver staff and campus training
- Develop, review, and update student communications
- Work with the Registrar to provide timely communication of admissions department changes and updates to the college community
- Address inquiries and concerns from students, parents, and other stakeholders.
Designated School Officials (DSO):
- Serve as one of the Designated School Officials (DSO) for SEVIS and stay up to date regarding federal regulations governing F-1 compliance
- Collaborate with the Primary Designated School Official (PDSO) to receive and respond to SEVIS alerts and process student requests, such as transfers
- Process international applications once the PDSO has admitted and released the application to the Admissions and Records Office.
Student Records:
- Knowledgeable regarding regulations and compliance with FERPA (Family Education Rights and Privacy Act of 1972) and other privacy regulations.
- Assures the inclusion of all approved administrative changes, records, and updates to the College catalog for Admissions.
- Develop and distribute informational materials about the admissions process and requirements.
- Assists in processing requests for grade changes, course substitutions, advanced standing credit, and program changes.
Data Management and Reporting:
- Maintain accurate and up-to-date records of all admissions activities.
- Prepare and present reports on admissions statistics and trends when needed.
- Assists in preparing timely and accurate reports mandated by state and federal agencies.
- Utilize Element 451 and other admissions software and databases to track and manage applications.
Collaboration and Communication:
- Coordinates with the Executive Director, Registrar, and Instructional Services to ensure admissions processes and policies are aligned with Forsyth Tech’s mission in addition to state and federal legislation and policies.
- Work closely with other departments, including Financial Aid, and International Student Services, to ensure a seamless admissions process.
- Communicate effectively with internal and external stakeholders to promote the college and its programs.
- Incorporate technology and revamp departmental workflows to enhance the student experience.
- Assists in coordinating the creation and implementation of a strategic plan for the college’s admissions functional area, in collaboration with the Executive Director, Registrar, and Student Success Services.
- Assists in developing and revising various institutional forms used by the Admissions and Records Office.
- Works closely with the Registrar to develop the program outcomes for the admissions functional area, monitors the assessment of those outcomes, and develops plans of action for improvement based on the outcomes assessment.
- Assists in developing and maintaining all training and procedural documentation covering all aspects of the Admissions area relevant to the position.
- Serve on college committees, as needed.
- Participate in various events/activities around the college (i.e., Welcome Back Week, Graduation, Rock Enroll, Fall Fest, etc.)
- Completes a minimum of 20 hours of professional development each year.
- Other duties and responsibilities as assigned by the Registrar & Vice President of Student Success Services.
