Job Overview
The Clerk IV Attendance Secondary will perform a variety of fully proficient level clerical support tasks. Position requires strong computer skills and often involves highly confidential materials. Work decisions are made in accordance with established and departmental policies.

Position Description

Essential Duties and Responsibilities

Attendance Reporting

  • Process and maintain student attendance records (daily, each six weeks and each academic grading period)
  • Generate attendance records and Average Daily Attendance (ADA) documentation and reports
  • Prepare daily attendance lists, noting excused/unexcused status
  • Run percentage in attendance (ADA report) daily to compare to District goal.
  • Monitor percentage in attendance (ADA report) to ensure attendance is not less than previously reported ADA (for waiver purposes)
  • Run reports to monitor teachers/substitutes who do not take attendance per District and State expectation (at snapshot)
  • Run various reports to ensure attendance via each academic reporting period is accurate on grade reports to parents
  • Ensure that rosters are available for substitutes
  • Prepare campus for 1st and 4th six weeks teacher verification and six weeks data verification processes
  • Review reports as needed, comparing prior six weeks to current six weeks, and acquiring campus principal signature each six weeks
  • Follow the FBISD Attendance Manual's guidelines for daily, weekly, six weeks and semester attendance-taking protocols.
  • Maintain knowledge of Student Attendance Accounting Handbook (SAAH) for data proficiency and funding
  • Generate and maintain attendance data (absence verification) as it relates to Average Daily Attendance (ADA)
  • Perform PEIMS-based duties and data entry, as they pertain to attendance-taking protocols
  • Verify and monitor teacher web absences to daily
Data Entry
  • Enter data into Skyward (SIS) as they pertain to PEIMS TSDS attendance data protocol
  • Enter notes from parents frequently and verify and monitor teacher web absences
  • Monitor data inequities to ensure data quality using software approved by the District
Customer Service
  • Communicate with parents regularly regarding student attendance, tardiness or non-engagement as it pertains to face-to-face and online attendance
  • Monitor students with consecutive tardiness and/or absences
  • Return parent and staff calls/emails in a timely manner
Enrollment-Registration
  • Assist data entry personnel as needed regarding non-attendance related clerical tasks such as student registration/withdrawal
  • Correlate attendance membership with enrollment frequently or as needed to confirm enrollment counts (used for program services and funding)
Professional Development
  • Participate in biweekly, semester, summer and called sessions to improve and grow professionally
  • Initiate training sessions for staff on attendance as needed to increase and improve attendance on campus

Qualification Requirements

  • High School Diploma or GED
  • Minimum of 60 college hours preferred
  • Texas Association of School Business Officials Certification (TASBO) Acquisition or evidence of courses toward TASBO certification preferred
  • Minimum of 2 years of experience in either school-based, office, or clerical work
  • Strong computer skills (Microsoft Word, Excel and Adobe)
  • Proficient in all general office skills such as data entry or filing
  • Strong customer service skills
  • Highly organized, detail-oriented and able to multi-task
  • Must work with a high degree of accuracy
  • Demonstrated knowledge of or able to comprehend and apply state attendance and enrollment laws
  • Ability to communicate effectively, both orally and in writing
Physical Requirements/Working Conditions

The position requires occasional walking, standing, sitting, bending, stooping, kneeling, crouching, crawling, and lifting/carrying work related items weighing less than 40 pounds, such as books, papers and presentation materials. The employee is regularly required to use hands to finger, handle, or feel objects, tools, or controls; reach with hands and arms; and talk or hear. Specific vision abilities required by this job include close vision, color vision, and the ability to adjust focus. Attendance at conferences and professional development is required. Work involves everyday risks and discomforts which require normal safety precautions when operating equipment or performing job duties. May work prolonged or irregular hours and must be able to maintain emotional control under stress.
