Job Description
The Department of Residential Life's mission is to assist in the preparation of citizen-leaders by fostering community, providing access, focusing on resident needs and supporting the educational experience.
Position Summary : The Assistant Director of Residential Life is responsible for supporting the vision of the department while providing leadership to staff and students. This is a 12-month position responsible for working on the residential life team to deliver a vibrant residential living community that engages students for success at Fort Hays State University. Under the leadership of the Director of Residential Life, the Assistant Director is responsible for direct supervision of one Administrative Assistant and two student employees.
Responsibilities :
- Responsible for tracking occupancy numbers in the residence halls and apartment complexes to include returning and new students, wait lists, and the monitoring of overflow accommodations.
- Responsible for all room and housing assignments processes to include hall and room changes, in conjunction with Community Directors. Maintain and update occupancy database using StarRez by entering room changes and hall transfers daily.
- Coordinate, create, and organize the hall assignment notifications to students.
- Utilize StarRez (occupancy housing software) to process, change, and update applications, billing, scholarships, and meal plans.
- Utilize StarRez to process data from various University reports to include weekly occupancy reports for departmental planning.
- Establish yearly housing selection dates in consultation with the Director of Residential Life.
- Supervise the administrative assistant and student office workers to include annual evaluations, goal setting, and learning outcomes. Other supervision opportunities as required.
- Participate in Residential Life programs, such as, but not limited to university visit days and special weekends.
- Participate in the Division of Student Affairs key calendar events, complete Division of Student Affairs. administrative tasks such as professional development plan; goal setting; learning outcomes; assessment; self- evaluations; and more.
- Execute all administrative and customer service elements of summer camps and conferences, including scheduling, placements, check-ins, billings, and collections of summer revenue for summer conferences.
- Work collaboratively with facilities and housekeeping partner to ensure successful turnover of buildings throughout summer.
- Develop and manage technology initiatives including department website, working with department student graphic artist on publications and web design.
- Coordinate the processing of Off Campus Living Requests, Medical Accommodations, and Meal Plan changes while addressing special housing requests with professional care and timely response.
- Create marketing materials for on campus housing selection process and support students through their housing selection in conjunction with the Director of Residential Life.
- Manage all aspects of marketing functions including but not limited to brochures, social media, and digital signage in housing areas.
- Provide oversight into the residence hall front desk processes including coordinating, establishing, and maintaining check-in and check-out processes, move-in and move-out days, oversight of special population move-ins, key access oversight, and administrative processes.
- Participate in on-call rotation. Provide crisis response and emergency response for all housing areas.
- Serve as a university housing conduct officer.
- Assistant the Director in various projects, communications and reports, and attend various meetings on their behalf.
