What are the responsibilities and job description for the Patient Coordinator position at Fort Lauderdale Eye Institute?
OVERVIEW:
The Patient Coordinator is the first point of contact for all patients, guests and visitors. The responsible is to greet patients and guests in a courteous and professional manner. The Patient Coordinator also assists patients with the check in or check out process. Retina experience required.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
· Greets patients and guests.
· Assists patients and guests based on their needs
· Phone employees to meet visitors, directs visitors to appropriate waiting areas, and appropriately and courteously screen solicitors for relevance to organization needs and ability to be seen
· Register first time patients, verify demographics and update accordingly in both patient management systems: Phreesia and NextGen
· Assist patients in accurately completing appropriate forms and document all information on the Phreesia Tablets.
· Assist patients when needed with the Phreesia Tablets.
· Assist Co-workers with work load as a team player to help balance the work flow for the day
· Explains financial requirements to the patients or responsible parties and collects deductibles, copays and/or co-insurance as required
· Request patients ID and Insurance Card and verifies that it is current in the system, if not scan into NextGen - patient electronic medical record
· Assist with incoming and outgoing Faxing as needed
· Prints routers (fee slips) and place on designated clip boards (blue for general population of patients, black for VIP and purple for Research (if applicable)
· Contagious patient requires a post it on right top corner of router in red pen “Caution”
· Read Alerts and follows actions necessary from Alerts
· Assist the patients with the checkout process
· Make sure all self-pay patients have a GFE prior to being seen, if not make sure Office Manager is aware and GFE needs to be created, signed and scanned prior to appointment
· Checking out self-pay will require a follow-up GFE to be created, signed and scanned prior to patient’s departure
· Schedules follow up appointments appropriately, do not double book unless post op or approved by provider or Office Manager
· Schedule separate injection appointments for Retina patients
· Notify Office Manager of any office supplies needed to be ordered
· Assist Office Manager with appointment request to be scheduled
· Assist Office Supervisor with rescheduling appointments including Retina injections
· Promptly and professionally return calls or voicemails
· Assist with patient confirmation when necessary
· Assist with transportation and /or Translation (if bilingual) for patients
· Work all tasks as assigned in NextGen by end of day and document all necessary communication in patient’s electronic medical records
· Assist with patient registration of online vitamin purchases
· Scheduling and tracking outsourced testing and specialist appointments (Bascom Palmer)
· Scheduling patients for Hyperbaric Treatment
· Assist with incoming delivery and assist with putting supplies away, and verify with packing slip everything arrived, initial and date when unpacked and give packing slip to Office Manager
· Maintain petty cash box according to office policy
· Make sure your petty cash box has appropriate small bills to make change for patients, if not see Office Manager for large bills or large bill exchanges
· Clean Phreesia Pad in front of patient prior to handing to the patient
· Scan all fee slips and attached documentation prior to end of morning shift and afternoon shift, not to be left for next day
· Maintain the work/front desk area, lobby and waiting rooms and check restrooms for cleanliness.
· Other duties as assigned
Job Type: Full-time
Pay: $19.50 - $20.00 per hour
