JOB DESCRIPTION
Job Title: Accounting Receptionist/File Clerk Department: Accounting
Reports To: Accounts Payable Manager Employment Status: Full Time
Exemption Status: Non-Exempt Classification: Sensitive
Supervisory Status: No Salary Minimum: DOE
Driving Classification: Valid Driver’s License
Summary:
File and maintain accounts payable records, journal entries and vendor files. Greet individuals; maintain great
customer service while disbursing A/P checks. Perform clerical duties and other tasks assigned.
Essential Duties and Responsibilities:
- Filing and maintaining A/P records, journal entries and vendor files.
- Uphold filing and coding systems for correspondence, department operations, records, files and
- Responsible for disbursement of accounts payable checks to proper individuals.
- Clerical duties will also be included such as answering phones, taking messages and logging
- File clerk will also be responsible for taking on various assigned tasks regarding basic computer skills
- File vendor records away in alphabetical order or numerical order as directed by the Accounts Payable
- Code files for proper placement.
- Retrieve files, as necessary.
- Ensure if files are loaded out they are returned.
- Clean and maintained file space.
- Fax and photocopy files.
- Deliver via interoffice methods.
- Ensure files are accessible.
- Ensure no materials in files are lost.
- Perform periodic inspections of materials or files in order to ensure correct placement, legibility and
- Be able to explain filing system to others.
- Answering the telephone, attending counter and giving out information or referring callers to proper
- Giving out and accepting forms to deliver to proper party.
- Serving the public by answering inquiries.
- Responsible for creating new vendor files for the new Fiscal Year.
- Must be familiar using Microsoft Excel and Microsoft Word to take on email tasks as they are assigned.
- Help in developing and implementing FMIT Accounting Department Filing System including Journal
- Perform all other duties as assigned.
Qualifications:
- Great customer service skills
- Must be able to perform each essential duty satisfactory.

Education/Experience:
- High school diploma or GED required.
Language Ability:
- Proficient in English, with the ability to communicate effectively with management and residents.
Reasoning Ability:
- Strong reasoning and logical problem-solving skills.
Computer Skills:
- Proficiency in Microsoft Word and Excel
Requirements:
- Valid driver’s license and insurability under the Tribe's auto insurance carrier, required.
- High school diploma or GED, preferred
Equipment, Machinery, Tools, and Material Utilization:
- Experience with using a computer, telephone, calculator, hole punch, and copy machine.
Knowledge, Skills, and Abilities:
- Strong work ethic, dependability, and ability to meet deadlines.
- Excellent customer service skills and the ability to communicate effectively with diverse groups.
- Proficiency in reading and interpreting directions and basic math.
- Familiarity with safety protocols and commitment to maintaining a safe work environment.
- Capacity to lift and move up to 25 pounds.
- Team player who can also work independently when required.
Physical Demands and Work Environment
- Frequent use of hands and fingers for handling and manipulating tools and objects.
- Standing, walking, bending, stooping, kneeling, and crouching for extended periods.
