As we continue to grow, we are seeking a highly organized and proactive Administrative & Event Planning Coordinator to support our operations and coordinate company events.
Position Overview
This role combines administrative support with hands-on event planning responsibilities. The ideal candidate is detail-oriented, thrives in a fast-paced environment, and enjoys managing logistics for corporate events, philanthropic initiatives, and employee engagement activities. Experience with graphic design and marketing materials is a plus.
Responsibilities
Administrative Support
- Provide direct administrative assistance to executives and team members.
- Manage schedules, coordinate meetings, and arrange travel for key personnel.
- Answer and direct phone calls, emails, and other correspondence in a professional manner.
- Prepare and edit documents, reports, presentations, and internal communications.
- Maintain and organize electronic and physical filing systems, ensuring records are up to date.
- Process invoices, track expenses, and assist with basic budgeting tasks.
- Handle data entry, maintain contact databases, and generate reports as needed.
- Assist in drafting and proofreading company announcements and communications.
- Act as a liaison between departments, vendors, and external partners.
Event Planning & Coordination
- Plan and execute company events, including networking functions, charity events, employee appreciation gatherings, and industry conferences.
- Handle logistics such as venue selection, catering, permits, and vendor negotiations.
- Create event timelines, manage budgets, and participate in on-site event execution.
- Develop and distribute event materials, including invitations, signage, and promotional content.
- Track event RSVPs, success and provide post-event reports.
Marketing & Design
- Assist with the creation of event marketing materials, presentations, and social media content.
- Design invitations, flyers, signage, and promotional items using software such as Canva, Adobe InDesign, Photoshop, or Illustrator.
- Ensure branding consistency across all event materials and internal communications.
Qualifications
- 3 years of administrative and/or event planning experience.
- Strong organizational skills with the ability to multitask and meet deadlines.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Experience coordinating with vendors and managing event logistics.
- Familiarity with design tools like Canva, Adobe InDesign, Photoshop, or Illustrator (preferred).
- Ability to work independently and as part of a team in a dynamic environment.
- This is not a hybrid or remote position; this position is located in Islandia, NY M-F 8am to 5pm.
