The Corporate Paralegal / Licensing Specialist will be responsible for managing and overseeing the licensing and regulatory compliance of our branches in different cities and states, with the assistance of a third-party vendor. This role involves ensuring that all branches meet the necessary legal and regulatory requirements to operate effectively and safely. The Licensing Specialist will work closely with local, state, and federal authorities, as well as internal teams, to secure and maintain specific required licenses and certifications.

Essential Duties & Responsibilities :

Licensing & Entity Management :

  • Research and understand the licensing requirements for fire safety operations in various cities and states.
  • Research legal entity requirements for out-of-state work and / or remote employment.
  • Liaise with regulatory bodies, government agencies, and local authorities to facilitate licensing processes.
  • Collaborate with internal teams, including operations, legal, and safety departments, to gather necessary documentation and information.
  • Prepare, submit, and manage applications for new licenses, renewals, and amendments.
  • Maintain a comprehensive database of all licenses and certifications, ensuring timely renewals and compliance.
  • Stay updated on changes in local, state, and federal regulations related to fire safety.
  • Assist branch managers and leadership in ensuring all required licenses for business operations are obtained.
  • Prepare reports on licensing status, compliance issues, and upcoming renewals for management review.
  • Pre-qualification Coordination :

  • Assist with development and thereafter maintain Fortis pre-qualification resource center.
  • Assist with management of branch pre-qualification requirements as they arise.
  • Other :

  • Provide electronic notary service.
  • Assist in delinquent and high value collection matters.
  • Performing other clerical duties such as scheduling appointments, providing information to callers, composing, and typing routine correspondence, administrative data keeping, etc.
  • Preparing affidavits of documents and maintaining document file(s) while ensuring proper indexing and filing of original legal documents.
  • Electronically file correspondence and legal documents using SmartSheet / office system.
  • Required Qualifications :

  • High School Diploma or GED
  • Minimum of 2 years of experience in licensing, regulatory compliance, or a related role, preferably within the fire safety or related industry.
  • Familiarity with legal and regulatory terminology and processes.
  • Excellent organizational and project management skills with attention to detail.
  • Strong interpersonal and communication skills, with the ability to work effectively with various stakeholders.
  • Proficiency in Microsoft Office Suite and database management systems, to include Word, Excel, PowerPoint, Teams, Outlook and Smartsheet.
  • Located in Florida, Texas, Illinois, or California.
  • Ability to work West Coast hours to support West Coast operations, when needed.
  • Preferred Qualifications :

  • Bachelor’s degree in Business Administration, Legal Studies, Public Administration, or a related field.
  • Strong understanding of regulatory and licensing processes at local, state, and federal levels.
  • Compensation : 23.00-$27.00 hourly

    Physical Requirements :

    While performing the duties of this job, the Team member is regularly required to use hands to finger, handle, or feel and talk or hear. The Team member is frequently required to reach with hands and arms and stoop, kneel, crouch, or crawl. The Team member is frequently required to stand, walk, sit, and climb stairs, or balance. The Team member must occasionally lift and / or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, peripheral vision, depth perception and ability to adjust focus
