We are seeking an entry-level PROPOSAL COORDINATOR for a full-time position located in our Austin, Texas office.

The Proposal Coordinator has a critical role in supporting business development efforts by crafting persuasive, high-quality proposals, qualifications, presentations, and other deliverables aimed at winning new work. This individual will report to and collaborate with the Director of Marketing. This individual will also collaborate with the management team to produce compelling documents that showcase the company's expertise and align with client requirements.

Important to the success of this role includes a thoughtful and proactive approach, strong time management, attention to detail and creative problem solving. We are looking for someone with experience using InDesign, a natural graphic eye, a love of industry, and an outstanding ability to collaborate.

Up to two years of marketing experience in the A/E/C industry is preferred.

Key Responsibilities

  • Search for, identify, and analyze potential leads and opportunities.
  • Work alongside Director of Marketing to assist in planning, developing, and producing proposal content in response to public and private sector requests.
  • Assist with coordinating proposal kick-off meetings to establish input and review cycles, deadlines and assign responsibilities.
  • Coordinate proposal content needs and expectations and expedite information gathering.
  • Assist with designing, writing, and editing complex proposals and government forms in alignment with brand standards and strategic messaging.
  • Coordinate review of RFP/RFQ contract terms with senior management.
  • Proofread and perform Quality Control document checks to meet all requirements in response to Requests for Proposals (RFPs), Requests for Qualifications (RFQs), and other client solicitations.
  • Coordinate and assist with final proposal submissions, including but not limited to, printing, uploading, and preparing final package for delivery/submission.
  • Assist Director of Marketing with registering and maintaining vendor/client accounts.
  • Assist Director of Marketing with regular proposal planning meetings to ensure alignment with client expectations and proposal objectives.
  • Assist and participate in regularly scheduled business development meetings.
  • Assist in formatting and developing content for project interviews and presentations, including graphics, slide decks, and other visual aids.
  • Maintain, update, and organize a library of proposal content, including but not limited to, technical writeups, photography, graphics, external subconsultant data, specific project information, and marketing materials.
  • Develop and update existing marketing materials including resumes, project descriptions and other print collateral.
  • Assist with maintaining the company system of record database, Unanet.

Skills Experience

  • Education: Bachelor's degree in marketing, PR, Communications, Journalism, English or related discipline or equivalent work experience in lieu of degree.
  • Experience: Minimum two (2) years' marketing experience in Architectural, Engineering, Construction, (AEC) industry or similar capacity.
  • Familiarity with the proposal process (RFQ/P) is required.
  • Skills: Strong communication (written, verbal, and copy-editing), organization, team building, and relationship management skills. Proficiency in Microsoft Office Suite (Outlook, Teams, Word, Excel, and PowerPoint), and Adobe Creative Suite (InDesign, Illustrator, Photoshop).
  • Creativity: Ability to create compelling marketing materials and campaigns. A keen eye for design, layout, and attention to detail
  • Time Management Organization: Ability to manage and organize multiple projects simultaneously with attention to detail in a deadline-driven environment.
  • Team Player: Ability to work collaboratively (internal and external) within a team to meet a deadline.
  • Adaptability: Flexible and responsive to changing project requirements, able to handle shifting priorities with ease

Work Environment Physical Demands

The characteristics described below represent those encountered while performing the essential functions of this position.   • Work will be in an office setting.
  • Work will be primarily working with fingers by picking, pinching, typing, and grasping often with repetitive motion.
  • Must have visual acuity for viewing a computer screen, the ability to talk, hear and sit for extended periods of time.
  • Must be able to carry, lift and push/pull up to five pounds frequently and up to thirty pounds occasionally.
  • Additional physical duties may be required, as necessary.

PAY RANGE: $60K-$70K

Other Requirements

  • Possession of a valid state of residence driver's license with a clean driving record.
  • Daily travel to and from construction sites, generally within 100 miles from the home office is expected. Short term, out of town, assignments may be required. Long term, out of town, assignments may be required, with advance notice of planned dates.
  • May be required to work protracted and irregular hours to meet client's needs, including nights, overtime and weekends.
