Position Summary:
Responsible for managing the overall daily office operations, including areas of office management, technology, and operating procedures in a cost effective manner. The majority of work performed is in the development, implementation, monitoring, and compliance with organizational strategies and policies, the improvement of office
processes and policies, the planning of materials usage, and managing the administrative staff. All duties and responsibilities must be carried out in accordance with established
corporate office policies and procedures and handled with confidentiality, independent discretion, and judgment.
Duties:
Executive Services
- Train and monitor compliance with the policies, procedures and practices of the company.
- Act as Assistant Corporate Secretary when appointed.
- Record minutes at meetings attended by the President, via out-of-town travel if necessary, by attending meetings (i.e. Board of Directors meetings, management meetings, strategic meetings, negotiations, etc.) Act as recording secretary.
- Coordinate, schedule, and track Board of Directors corporate compliance training as needed.
- Perform other duties as directed or assigned.
Administrative Services
- Manage budget for department, review operating costs, recommend and implement as required cost-saving measures.
- Manage and supervise the administrative and office services staff and direct the provision of administrative and office services as required.
- Coordinate services available and provided to all staff members, such as shipping, transportation, and supply orders.
- Schedule and handle arrangements for programs, events, or conferences for the President and Board of Directors.
- Book detailed travel plans and schedule meetings for the President, Directors, and Officers as necessary.
- Compose, refine, and compile board reports, various executive management reports, and confidential correspondence for the President.
- Maintain and oversee document management processes.
- Credit and charge account management for FHS and Affiliates.
Educational Requirements:
- High school diploma.
Experience Requirements:
- A minimum of 3 years experience as an administrative assistant or office manager.
- Experience generating, coordinating or composing board reports and minutes.
- Supervisory experience.

Physical and Sensory Requirements:
- Must be able to move intermittently throughout the workday.
- Must be able to travel to facilities and to meetings as required via air and ground transportation.
- Must be able to speak and write the English language in an understandable manner.
- Must be able to see, hear or use prosthetics that will enable these senses to function adequately to ensure that the requirements of this position can be fully met.
