Executive Administrative Assistant
SUMMARY: Provides administrative support to the General Manager, and other Executives as needed. Duties include general clerical, project-based work, and receptionist-type duties.
PRIMARY RESPONSIBILITIES
- Assist General Manager with any projects, as requested.
- Answer telephones and transfer to appropriate staff member.
- Help Receptionist meet and greet visitors.
- Open and handle mail received for General Manager.
- Create and modify documents using Microsoft Office; specifically, Excel, Word, PowerPoint, Adobe Acrobat, etc.
- Perform general clerical duties to include but not limited to photocopying, faxing, mailing, emailing, and filing.
- Maintain hard copy and electronic filing systems.
- Coordinate meetings and conferences, taking minutes as required.
- Support staff in assigned project-based work.
- Work with LMS, DataMagine, and iTrak systems.
- Other duties as required.
ADDITIONAL RESPONSIBILITIES
- Review contracts prior to obtaining approvals.
- Manage motor vehicle registrations
- Manage Corporate Books, including license renewals and minutes.
- Assist General Manager with legal issues.
- Manage assignment and removal of comp numbers.
KNOWLEDGE AND SKILL REQUIREMENTS
- Basic reading, writing, and arithmetic skills required. This is normally acquired through a high school diploma or equivalent.
- Knowledge of Microsoft Office with an emphasis on Word, Excel, and PowerPoint. Must have excellent telephone skills. Duties require professional verbal and written communication skills and the ability to type 50 wpm. This is normally acquired through one to three years of clerical experience.
- Knowledge of PowerPoint and Adobe Acrobat.
- Familiarization of basic accounting techniques and principles.
