- The Executive Administrative Assistant will provide high-level administrative support to the CEO, ensuring the smooth operation of the office and assisting with various business activities. This role requires excellent organizational skills, discretion, and the ability to manage multiple tasks simultaneously. The Executive Admin will act as a gatekeeper, coordinator, and liaison between the CEO and internal/external stakeholders.
Key Responsibilities:
- Calendar & Meeting Management: Schedule and manage the CEO’s appointments, meetings, and travel arrangements. Prepare meeting agendas, take minutes, and follow up on action items.
- Communication Management: Handle incoming and outgoing communications, including emails, phone calls, and correspondence. Draft, edit, and proofread documents and presentations for the CEO.
- Project Coordination: Assist in the planning and coordination of special projects or company initiatives, ensuring timely completion.
- Travel Arrangements: Organize domestic and international travel itineraries, accommodations, and logistics. Prepare necessary documents for travel, such as agendas and itineraries.
- Confidentiality & Discretion: Handle sensitive information with utmost confidentiality, ensuring the CEO’s privacy is maintained at all times.
- Stakeholder Liaison: Serve as a point of contact between the CEO and the board of directors, employees, clients, and external stakeholders. Facilitate communication and information flow between parties.
- Document Management: Organize and maintain files, documents, and records for easy retrieval. Ensure all documentation is up-to-date and properly archived.
- Event Coordination: Assist with the planning and coordination of corporate events, meetings, and conferences as needed.
- Expense Management: Track and manage the CEO's expenses, process reimbursements, and prepare reports as needed.
- Office Management: Handle general administrative duties, including office supplies management, filing, and ensuring the smooth operation of the CEO’s office.
Qualifications:
- Proven experience as an Executive Assistant or in a similar role supporting senior executives.
- Excellent organizational and multitasking skills.
- Strong verbal and written communication abilities.
- Proficiency with office software (e.g., Microsoft Office, Google Workspace).
- Strong problem-solving abilities and the capacity to work under pressure.
- High degree of professionalism, confidentiality, and attention to detail.
- Bachelor’s degree in Business Administration or a related field preferred.
Preferred Skills:
- Experience in handling executive-level communications and correspondence.
- Familiarity with project management tools and processes.
- Ability to work independently and prioritize tasks.

Working Conditions:
