We are seeking a detail-oriented Administrative Assistant responsible for managing billing, accounts receivable (AR), accounts payable (AP), payroll, and handling customer service inquiries. **Key Responsibilities:**
1. **Billing and Accounts Receivable: **
- Generate and send accurate invoices to clients.
- Monitor and follow up on overdue payments.
- Reconcile incoming payments with outstanding invoices.
- Prepare and maintain AR aging reports.
2. **Accounts Payable:**
- Review and process vendor invoices.
- Ensure timely payments to vendors and suppliers.
- Manage payment schedules and address any discrepancies.
- Reconcile AP accounts as needed.
3. **Payroll Processing:**
- Accurately process payroll for all employees on schedule.
- Ensure compliance with payroll regulations and deductions.
- Respond to employee payroll inquiries and resolve discrepancies.
- Maintain payroll records and documentation for auditing.
4. **Customer Service:**
- Answer and address billing-related inquiries from customers.
- Provide assistance to customers with payment options and account statements.
- Document and escalate customer issues when necessary.
5. **Administrative Support:**
- Maintain and organize financial records.
- Assist with monthly financial reports and audits.
- Support the finance and administration teams as needed.
**Qualifications:**
- **Education:** High school diploma or equivalent required; associate’s degree in accounting, business administration, or a related field is preferred.
- **Experience:** Minimum 2-3 years in billing, AR/AP, payroll, or a similar role.
- **Skills:**
- Proficiency in accounting software (QuickBooks) and Microsoft Office Suite (especially Excel).
- Excellent communication skills, both verbal and written.
- Strong attention to detail and organizational skills.
- Ability to handle sensitive financial information with confidentiality.
- Ability to multitask and prioritize effectively in a dynamic environment.
