Job Summary
This position works 10 hour shifts Monday through Thursday, off Friday and the Weekend.
We are seeking a highly organized and detail-oriented Administrative Assistant to support our team in various administrative tasks. The ideal candidate will possess strong communication skills, proficiency in office management, and the ability to handle multiple tasks efficiently. This role is crucial for ensuring smooth operations within the office and providing exceptional support to both staff and clients.
Responsibilities
- Manage phone systems, including answering calls, directing inquiries, and taking messages as needed.
- Perform data entry tasks accurately and efficiently to maintain up-to-date records.
- Assist with calendar management by scheduling appointments and coordinating meetings.
- Handle administrative duties such as filing, document preparation, and office organization.
- Act as a personal assistant to executives or team members when required.
- Utilize QuickBooks for basic financial tracking and reporting.
- Maintain confidentiality of sensitive information while managing office communications.
- Support office management activities to ensure a productive work environment.
- Scanning and saving documents, roughly 1,000 pages a week
- Scheduling appointments and vendor follow ups
- Entering Deposits in QuickBooks
- Depositing checks through a check scanner
- Microsoft Outlook scheduling
- Collecting, recording, and depositing rental payments and maintaining rental spreadsheet
Requirements
- Proven experience in an administrative role or similar position is preferred.
- Familiarity with phone systems and data entry processes is essential.
- Experience as a medical or dental receptionist is a plus.
- Strong organizational skills with the ability to manage multiple priorities effectively.

- Proficiency in QuickBooks is advantageous but not mandatory.
- Excellent verbal and written communication skills are required.
