Job description
Four Tribes Development Holdings, LLC is in search of a Construction Administrative Assistant in the Reno area. This position will serve as administrative support to project managers as needed.
Responsibilities:
- Work closely with subcontractors and company personnel to ensure that the administrative requirements of each job are satisfied.
- Professionally communicate with stakeholders, customers, and subcontractors, in connection with all project business.
- Sets up, maintains, and organizes project files on the corporate CRM and customer database.
- Assist project manager with developing, assembling and executing subcontract agreements, purchase orders and changes.
- Provide general admin support to project superintendent, safety and QC.
- Collect and audit subcontractor-certified payroll reports.
- Receive, track, and process monthly invoices from subcontractors and vendors.
- Collect data for required reports from the request of the project manager or field staff.
- Coordinate employee processing through Federal Security processes for entry onto Federal sites.
- Assist in facilitating Federal security processes to obtain on-site access and badging.
- Administrative tasks utilizing Microsoft Word, Excel, PowerPoint, and Outlook
- Other administrative duties as assigned.
The ideal candidate should have a general understanding of construction industry terms and be familiar with a variety of field concepts, practices, and procedures. Must possess excellent written and verbal communication, must be detail-oriented, have the ability to multi-task, have a strong customer service background, must possess organizational and interpersonal skills, and must be willing to pitch in wherever needed. Must be able to pass Federal background check.
This position is for candidates with a minimum of one year of administrative experience.
