Job Title: ACCOUNTING CLERK
Classification: Support Personnel Pay Scale
Range: IV
Description: The Accounting Clerk will provide support for all Finance department functions, specifically Payroll, Student Activities, Accounts Payable, Budgeting and Grants Management.
Qualifications:
- High School Diploma or equivalent required
- Associate of Arts Degree preferred
- Valid Fingerprint Clearance Card required
- Proficiency with MS Excel and Word preferred
- Basic bookkeeping and payroll processing knowledge preferred
- Basic clerical skills required
- Proficiency in written and spoken English required
- Ability to comprehend and follow written or spoken instructions to independently perform tasks
- Proficient in basic mathematic operations
- Strong communication skills
- Must be an energetic, highly ethical and possess good emotional and physical health
- Prior work related experience is preferred
Alternatives to the above qualifications as the Governing Board or the Superintendent may deem appropriate
Essential Duties and Responsibilities:
- Assist Payroll Specialist with weekly and bi-weekly payroll functions, including but not limited to reconciling weekly payroll absence reports to time clock reports, entering leave time data into payroll system, processing, reporting and verification of data, assisting during entire process as requested;
- Support all district departments and sites with processing of payroll reports, including transportation, food service, Head Start, PDG and all other related sites and departments;
- Assist in training school secretaries in preparing absence reports for submittal to payroll;
- Complete cash collections for student activities;
- Assist with Head Start related accounting tasks, including but not limited to the annual fiscal review, monthly invoices and quarterly reports;
- Assist Finance Director with preparation of Medicare documentation, including preparing quarterly and annual reports;
- Assist with completing Arizona Department of Education, (ADE), reporting and required procedures including but not limited to preparing and submitting grant completion reports, maintaining of the general ledger for grant funds, cash management, budget transfers, inputting expenditures, sending regular budget updates as needed;
- Assist Finance Director with input of grants budgets and all budget transfer requests;
- Assist sites and/or departments with grant expenditure monitoring and compliance;
- Assist the Accounts Payable Clerk as needed in processing invoices for payment;
- Verify that transactions comply with financial policies and procedures and outside contracts;
- Assist with the annual financial audit and any other audits conducted by other state and federal agencies as required;
- Maintain records of financial, statistical, and accounting information and prepare accurate reports;
- Participate in district sponsored professional development opportunities, maintain appropriate knowledge base as appropriate, attend on-going training as directed;
- Maintain strict confidentiality and appropriate discretion in all district related matters, including as it pertains to employees, students, and school business;
- Support and follow the rules, regulations, and policies set by the Governing Board and Superintendent;
- Perform all other duties as assigned by the School Governing Board, supervisor or appropriate
Length of Employment:
- Twelve (12) months
