Job Summary
As a team member of the Fox Cities Performing Arts Center, you will help build a positive working environment where employees bring the Center’s mission of serving as a gathering place for all in our community to life.
Under the general supervision of the Center’s Senior Manager of Ticket Services, the Group Sales and Specialty Ticketing Manager is responsible for the management of group and education series sales along specialty offers and the donor hotline for the Fox Cities Performing Arts Center. Position requires occasional evening and weekend duties, including some special events.
Primary Functions and Responsibilities
The following are the primary/essential functions of the position and are not all-inclusive.
Group Sales
- Lead outbound sales efforts with existing and prospective clients via phone, email, online, and in-person interactions
- Develop sales strategies and determine sales goals in collaboration with the Brand Engagement team, including development of up-to-date materials and online assets
- Coordinate sales efforts with Brand Engagement, Education and Development initiatives to ensure cohesive strategies and maximize outreach
- Manage incoming phone and online inquiries and ensure that clients are responded to in a timely manner
- Manage Entrance 21 inventory and pricing
- Oversee the processing of Entrance 21 sales and coordinate with the Event Operations team for implementation
- Work with internal teams to create and implement strategies to promote group ticket sales for a wide variety of events, including the Broadway, Arts Alive!, Spotlight, Viewpoint and Fox Valley Symphony seasons
- Offer strategic input on event pricing and offer restrictions, including participation in Broadway season planning
- Build ticket packages and bundles to support enhanced experience opportunities
- Implements and maintains group promo codes for business and community partners including inventory and minimum sales management
- Identify opportunities to package group ticket sales with space use
- Generate venue sales and group ticket sales reports as necessary or requested
Education Sales
- Establish sales goals in collaboration with Programming and Education teams
- Assist programming team with the management and processing of education ticket sales
- Assist in setting goals for education ticket reservations in collaboration with the programming team.
- Support the build and maintenance of education season and event information in Archtics
- Generate and update sales reports based on reservation data and established goals
- Assist in proofing marketing materials, including brochures, websites, communications, and invitations
- Process and track education ticket reservations, including online submissions and waitlists
- Coordinate with marketing to manage reservation updates and waitlist notifications
- Invoice and reserve seats for educational groups, ensuring accurate record-keeping
- Communicate reservation confirmations, invoicing details, and payment reminders to educators
- Organize and manage seating charts, including ADA accommodations and front-of-house materials
- Provide final seat count updates and track transportation details for school groups
- Coordinate distribution of resource guides and pre-show communications to educators
- Facilitate post-event surveys and compile results for review by the programming team
Client Relations
- Provide additional concierge services to group clients, including information on parking, restaurants, hotel accommodations, and area attractions
- Oversee preparation of client contracts or invoices and ensure timely follow-up
- Maintain and update client records regularly to ensure data hygiene
- Provide coverage of the Annual Partner Hotline to assist Annual Partners with ticketing needs.
- Provide excellent customer service to maintain positive relationships with all clients
- Continually learn new group and education ticketing sales strategies to remain current with industry trends
- Attend various events at the Center and in the community as an advocate for the Center
Secondary Functions
The following are the secondary functions of the position and not all-inclusive.
- Serve as an ambassador among the Center staff and volunteers to encourage understanding and appreciation of the various audience development campaigns
- Assists Senior Manager of Ticket Services with preparation and monitoring of annual ticket office budget
- Assist and support Senior Manager of Ticket Services on special projects as necessary
- Work occasional nights and weekends
- Complete other projects and duties as assigned
