We are looking for a detail-oriented Bookkeeper/Administrative Assistant with expertise in bookkeeping, accounts payable and receivable, financial software, and accounting tasks. This role requires an individual who values accuracy and organization and will involve working with systems like Sage 100 Contractor to manage financial processes efficiently.
Key Responsibilities:
- Accounts Payable Management: Handle all aspects of bookkeeping including accounts payable and accounts receivable, including accurate cost coding and data entry.
- Account Reconciliation: Perform regular account analysis and reconciliation to ensure financial data is accurate and up to date.
- Financial Software Utilization: Use financial software such as Sage 100 Contractor for data entry, reporting, and analysis.
- Clerical Tasks: Organize documents, file paperwork, scan, and perform administrative duties to support the accounting department.
- Data Entry: Use 10-key typing for precise and efficient data input.
- Vendor Management: Maintain accurate records for vendors and subcontractors, ensuring up-to-date insurance certificates and compliance.
- Construction Support: Assist with tasks related to construction projects, including invoice review, draw processing, and project closeout documentation.
Qualifications:
- Experience: Previous experience in bookkeeping or related financial roles.
- Software Knowledge: Proficiency with financial software such as Sage 100 Contractor or QuickBooks.
- Accuracy: Strong attention to detail, especially in account analysis, data entry, and reconciliation.
- Organizational Skills: Ability to manage tasks efficiently and prioritize multiple responsibilities.
- Communication: Clear and effective communication skills, both written and verbal.
Additional Responsibilities:
- Office Support: Answer phones and provide receptionist duties as needed.
- Reconcile Pay Applications & Equipment Billings: Process and verify monthly payment applications and equipment charges.
- Document Archiving: Scan and organize project files for easy retrieval.
- Project Closeout: Assist in compiling and organizing information for owner manuals and project documentation.
- Miscellaneous Office Duties: Support with special projects, filing, and scanning tasks.
