Position Overview
The Executive Studio Assistant plays a vital leadership role in managing daily operations, providing comprehensive support to the CEO and lead piercer, and driving operational excellence. This position requires strong leadership skills, exceptional problem-solving abilities, and a commitment to delivering outstanding customer service. You will manage studio lead follow-ups and provide general administrative support to the CEO. Under the CEO's guidance, you will help develop processes that enhance productivity, quality, and safety within the organization.

Essential Job Functions:
Administration & Leadership
- Possess strong leadership, organizational, and communication skills to effectively support and inspire staff while overseeing daily operations.
- Provide support and leadership that aligns with the company’s business vision.
- Assist the CEO in creating, planning, and building the organization.
- Set ambitious yet realistic goals for growth, performance, and profitability, while ensuring alignment with team and business objectives.
- Exhibit excellent problem-solving and decision-making abilities to guide the team and enhance outcomes.
- Collaborate with CEO on studio productivity, studio performance metrics, KPI’s, and goal setting initiatives.
- Develop effective measurement tools to assess the efficiency and effectiveness of internal processes.
Team Support & Development
- Partner with CEO to train, mentor, and develop staff to ensure high productivity and performance, equipping them with the necessary tools through coaching, education, and training.
- Foster strong customer relationships and support team members in doing the same.
- Assist in the development and implementation of performance metrics and KPIs.
- Lead special projects that drive company growth and operational improvements.
Operational Effectiveness
- Participate in studio operation reviews, safety audits, and process optimizations.
- Provide input to enhance studio productivity, efficiency, and safety. Partner with CEO to ensure studio compliance with all regulatory agencies, including the Texas Health Department and the Association of Professional Piercers (APP).
- Assist with daily studio operational health and safety protocols.
- Track, verify, and coordinate annual procedure(s) certification process.
- Aid studio operations staff to ensure adherence to company policies, procedures, and safety regulations.
Communication & Coordination
- Collaborate with team members to develop and implement effective operational strategies.
- Address inquiries from customers and team members, resolving issues promptly.
- Generate and maintain schedules for daily, weekly, monthly, and annual meetings.
- Communicate effectively with all team members, customers, and vendors to ensure smooth operations and foster strong relationships.

Physical Demands/Work Environment
The physical requirements for this position include the ability to carry and lift up to 5 pounds frequently, up to 25 pounds regularly, and up to 60 pounds occasionally. Candidates must possess visual acuity, speech, and hearing capabilities, along with hand-eye coordination and manual dexterity necessary to operate the Point of Sale (POS) system, computer, keyboard, and basic office equipment. Duties may involve carrying, lifting, twisting, and reaching to perform essential job functions. The working conditions are primarily in an office environment, with occasional travel to other locations. Additionally, the ability to stand for extended periods, up to 8 hours or more per day, is required.
Required Competencies

Qualifications
High School Diploma, GED, or equivalent.
At least 2 years of office administration, executive assistant, or equivalent experience required. Additionally, must have at least 1 year of leadership and sales experience.
You will have demonstrated expertise in business and office administration, encompassing day-to-day operations, performance metrics, sales, and leadership capabilities. Strong written and oral communication skills, attention to detail and a customer-first mindset are essential. Effective time management and problem-solving skills are also required. Additionally, you should excel at multitasking in a fast-paced environment. Skills and experience in marketing, social media, and retail highly desired.
