Position Title: Document Control Specialist
Location: Washington, DC
Reports to: Task Manager
Position Overview:
The Document Control Specialist will support both capital and non-capital projects by ensuring proper electronic document management and archiving procedures. This role requires meticulous attention to detail in maintaining project files, enforcing file naming conventions, and supporting staff in document retrieval. The specialist will also perform quality control checks, manage historical document scanning, and assist with document onboarding to the final repository. The ideal candidate will have strong organizational skills, experience with construction management applications, and a keen understanding of document control best practices.

Key Responsibilities:
Document Management & Archiving:
  • Implement and maintain proper electronic document archiving procedures.
  • Create, organize, and maintain project files in compliance with the Client’s standards.
  • Ensure adherence to the Client’s file naming and directory structure conventions.
  • Assist the Client’s staff and consultants in retrieving needed documents from electronic archives.
  • Scan and digitize historical hard-copy documents, ensuring accurate storage in designated folders.
Quality Control & Compliance:
  • Conduct quality control checks to confirm that digital files are:
    • Complete and legible,
    • Correctly oriented,
    • Named consistently with the Client’s file naming conventions, and
    • Archived according to established directory structures.
  • Ensure records for as-built drawings, design drawings, standard drawings, and contract close-out documents comply with the Client’s policies.
Project Coordination & Closeout Support:
  • Work closely with project teams, contractors, consultants, and the Client to facilitate project close-out processes.
  • Assist in document onboarding to the final Client repository.
  • Perform additional assignments as directed by the Client’s Task Manager.

Qualifications & Experience:
Minimum Requirements:
  • Education: Bachelor's degree in engineering or a related field; OR three (3) years of progressive work experience in a related field (e.g., architecture, engineering, or construction management) in lieu of a degree.
  • Experience: At least three (3) years of experience in document management, construction records, project administration, or related areas.
  • Technical Proficiency:
    • Experience working with construction management applications (e.g., Procore or Prolog or e-builder or Autodesk Construction Cloud or Kahu, etc).
    • Strong proficiency in Microsoft Office applications.
    • Experience managing both hard copy and digital documents.
  • Skills:
    • Strong organizational skills and attention to detail.
    • Experience performing quality control checks.
    • Excellent verbal and written communication skills.
Preferred Qualifications:
  • Experience handling secure contract documents, reports, and infrastructure plans classified as sensitive information.
  • Familiarity with developing operational procedures.
