POSITION SUMMARY:
To assist the department in day-to-day operations, planning and organization, maintaining efficient systems and processes, and interacting with district staff and the community, in order to support high quality and efficient running for the Office of Athletics

CERTIFICATES, LICENSES, AND REGISTRATIONS:
An Associate’s or Bachelor's Degree from an accredited college or university is preferred.
TRAINING AND EXPERIENCE:
Minimum of three years’ experience as an Office Manager or Administrative Assistant preferred. Excellent interpersonal and customer service skills, in working with teachers, administrators, support staff, parents/community, and outside agencies.

Computer skills and knowledge of appropriate applications including Microsoft Office, X2, MUNIS and Google Docs are essential. Demonstration of supervisory skills and commensurate experience, ability to establish and maintain organized office systems and procedures, effective interpersonal skills, ability to communicate effectively verbally and in writing, ability to maintain the confidentiality of information, ability to take notes and transcribe information, ability to work independently and take initiative to recommend and pursue relevant projects and ability to conduct research and produce reports. Ability to embrace and adapt to changes in procedures and job duties, if needed, due to process improvement, change in law and/or new systems that may be implemented to better streamline the needs of the department(s).
ESSENTIAL DUTIES AND RESPONSIBILITIES:
The essential functions or duties listed below are intended only as an illustration of the various types of work that may be performed. The omission of specific statements of duties does not exclude them from the position if the work is similar, related or a logical assignment to the position.
- Assist the Office of Transportation to arrange travel for teams;
- Work collaboratively with Assistant AD and Athletic Director;
- Complete all MIAA Tournament related paperwork;
- Answer and appropriately direct telephone calls from outside vendors, community organizations, District and City personnel, staff, and community members;
- Respond to student, parent, and coach inquiries;
- Communicate eligibility information to coaches to ensure the smooth operation of the department;
- Manage deposits and withdrawals for coaches in regards to Student Activity Accounts;
- Request building permits and work collaboratively with the Office of Buildings and Grounds and Park and Recreation to ensure all events are properly permitted;
- Welcome and assist all visitors who come to the Office of Athletics;
- Work with coaches to ensure all stipend paperwork is completed in a timely fashion for processing;
- Using Athletic Department Template maintain database of varsity team rosters and maintain database of students not selected for teams
- Provide outside vendor with list of all letterwinners for each season for letter night
- Assist in maintaining benevolent relationship with all stakeholders
- Assist with end of year equipment returns by contacting parents of student athletes who have not returned equipment
- Copy handouts and flyers for distribution as requested;
- Affix postage and send out all mail pertaining to the Office of Athletics
- Sort and distribute US and inter-district mail as needed;
- Process invoices through MUNIS;
- Process and track requisitions in TalentEd;
- View and assist with applications received for posted job openings in TalentEd;
- Other duties and responsibilities as reasonably assigned.
PHYSICAL WORKING CONDITIONS:

- Must be required to move about and may be required to traverse occasionally throughout the school building;
- Must often remain in a stationary position for considerable periods of time;
- Is occasionally required to reach with hands and arms and sit, stoop, kneel, crouch, or crawl;
- Is expected to lift at least 20 lbs (i.e. books, school supplies, etc.);
- Must frequently use hands to finger, handle, or feel; and use hand strength to grasp tools;
- Must be able to assist students who have physical difficulties;
- Operate a computer and other office productivity machinery (i.e., a calculator, copy machine, and computer printer);
- Must be able to input information into a computer and as well as read material from a computer monitor as well as handwritten or printed matter with or without visual aids;
- Must be able to communicate effectively with students, parents, and other staff members in person, via email, and on the telephone;
- In the classroom, must be able to see and hear on a continuous basis in order to ensure the safety of students as well as speak frequently to provide instruction;
- Must be able to assist students who have physical difficulties;
- May be required to move quickly across even or uneven surfaces;
- Working in a normal school environment with an acceptable level of noise;
- Must interact with students, parents, and other staff members;
- Must be able to kneel, sit, stand, crawl, push, and pull to assist and teach children throughout the day;
- Must be able to interact with students, parents, and other staff members and occasionally must meet multiple demands from several people;
- While the majority of the workday is spent inside, must spend time outdoors for recess, fire drills, and special activities;
- May be exposed to bodily fluids, disease, or pathogens;
- May receive unintentional injuries from aggressive students; and
- May be required some degree of physical interaction with students who have difficulty controlling physical behavior.

This position is classified as non-exempt.
TERMS OF EMPLOYMENT:
Covered under the Framingham Teachers Association Administrative Support (Unit S) Contract. Please note that the District reserves the right to transfer all personnel among buildings on an as needed basis to serve the best interests of all students as long as such transfer is in compliance with the Framingham Teachers Association Administrative Support (Unit S) Contract.
$47,936.15-$65,909.81 (in accordance with the Contract)
