Position Summary: The AR Specialist will be responsible for managing Francis Energy’s accounts receivable processes, ensuring accurate invoicing and collections, and preparing reimbursement requests for eligible expenses under NEVI grants. This role requires a strong attention to detail, compliance with grant funding requirements, and collaboration across multiple departments.
Responsibilities:
- Manage the full-cycle accounts receivable process, including invoicing, collections, and reconciliations.
- Prepare and submit reimbursement requests for eligible expenses under NEVI grants, ensuring compliance with federal and state funding requirements.
- Maintain detailed records of invoices, receipts, payroll allocations, and other supporting documentation necessary for reimbursement.
- Review and reconcile project expenditures against budget allocations and grant funding guidelines.
- Ensure timely and accurate reporting of costs, including labor, materials, and subcontractor expenses.
- Work closely with internal teams (Finance, Legal, Construction, and Compliance) to validate cost eligibility and compliance.
- Maintain up-to-date knowledge of federal and state grant reimbursement policies and procedures.
- Collaborate with project managers and finance teams to track project budgets and actual costs.
- Develop and implement best practices for improving the reimbursement process and reducing delays.
- Identify and resolve discrepancies between approved budgets, submitted expenses, and reimbursements.
- Serve as the point of contact for NEVI reimbursement-related inquiries.
- Assist with financial audits and reporting as needed.
Education and Experience:
- Bachelor’s degree in Accounting, Finance, Business Administration, or a related field preferred.
- 3 years of experience in accounts receivable, grant reimbursement, or financial operations.
- Knowledge of grant funding requirements and compliance regulations, particularly for federal and state grants.
- Strong analytical skills and attention to detail.
- Proficiency in accounting software and Microsoft Excel.
- Excellent communication and problem-solving skills.
- Ability to work independently and collaboratively in a fast-paced environment
