The role of the AA is to assist in day-to-day operations of Maintenance, Landscaping, and other Facilities related items. Being part time, time management is therefore a critical aspect of the role, with the ability to place the correct amount of attention on each duty aspect on any given day. The position must use a predictive and preventative approach to all duties, in supporting department activities, and supporting Facilities staff technicians in resources for them to perform their roles with efficiency.
Some duties are daily, some quarterly, and some annually. Below are the items for the AA role:
Daily Essential Functions:
- Issuance and assigning work request, morning and afternoon, monitor SchoolDude for incoming that requires rapid/urgent attention
- Purchasing and managing purchase orders in district platform
- Vendor relations as in calling for outside contracted service as needed, notifying school personnel of outside contractors scheduled visits. Manage funds and payments for outside contracted services:
- Annual and semi-annual life safety inspections
- Deficiency work scheduling
- Roof repairs
- Pest control
- Elevator inspection & maintenance
- Department and custodial supplies
- Other vendors per operations budget
- Manage fleet service records and schedules
- Manage FTC operations supplies
- Verify vendor invoices and process for payment
- Attend all Facilities staff meetings at the FTC
Monthly Essential Functions:
- Budget review by line item
- Confirm outside contracted services are performed with reports, invoices, service reports, etc.
Annual Essential Functions:
- Assist supervisor in budget preparation by comparing estimated actual to actual expenditures
- Review outside contracted services contracts with supervisor suggesting needed renewals or adjustments
- Assist with other duties, special projects as needed
QUALIFICATIONS:
- High school diploma required; Bachelor’s degree preferred
- At least one year of experience
- Knowledge of computer systems (word processing, database and spreadsheet programs)
- Such alternatives to the above that the hiring supervisor may find appropriate and acceptable
DEMONSTRATED KNOWLEDGE AND ABILITIES:
- Ability to work as a team member in a dynamic, complex environment and organize time and workload effectively
- Ability to communicate effectively both orally and in writing with all levels of staff and vendors
- Ability to establish and maintain effective working relationships with employees and vendors
- Ability to effectively perform job duties with minimum supervision
PHYSICAL DEMANDS/ENVIRONMENTAL FACTORS:
- Frequent sitting and standing; occasional bending/stooping, pushing/pulling and twisting
- Repetitive hand motions; frequent keyboarding and use of mouse; occasional reaching
- Occasional light lifting and carrying (less than 15 pounds); occasional physical restraint of students to control behavior (only after training completed)
- May work prolonged or irregular hours; work inside and outside (exposure to sun, heat, cold and inclement weather), exposure to noise
- Work with frequent interruptions
- Demonstrated problem solving and time management abilities

Pay: $17.00 - $25.00 per hour
