Position Overview: We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to support our CEO in both professional and personal matters. This multifaceted role requires a combination of administrative, project management, and personal assistant skills to ensure seamless operations across work and personal tasks. The ideal candidate will be an exceptional communicator, capable of managing multiple responsibilities and maintaining discretion and confidentiality.
Key Responsibilities:
Professional Responsibilities:
* Calendar Management: Effectively manage the CEO's professional and personal calendars, schedule meetings, and prioritize time-sensitive appointments.
* Email Management: Sort and prioritize emails for the CEO, respond to inquiries, and flag important correspondence.
* KPI & Survey Tracking: Monitor and report on key performance indicators (KPIs) and employee surveys, keeping the CEO informed of progress.
* Technology Integration: Assist in the integration and implementation of new technologies, ensuring smooth transitions and maximizing efficiency.
* Project Coordination: Collaborate with the CEO to coordinate various business projects, track deadlines, and ensure timely delivery.
* Vendor Management: Communicate with and manage relationships with vendors, ensuring the timely delivery of services and products.
* Office Supplies & Maintenance: Oversee inventory and ordering of office supplies; ensure the office and grounds are well-maintained.
* Financial Oversight: Coordinate invoices to the bookkeeper and track expenditures for budget compliance.
* Password Management: Maintain and manage CEO passwords and confidential information securely.
* Travel Arrangements: Coordinate travel arrangements for both business and personal trips for the CEO, ensuring all logistics are seamless and stress-free.
* Office Lunch Coordination: Organize and arrange office lunches, catering for meetings, and employee events.
Personal Responsibilities:
* Personal Errands: Handle personal tasks such as picking up dry cleaning, coordinating with household services (maid, landscaping), and managing other errands as needed.
* Family Coordination: Pick up children from school or arrange other forms of transportation as necessary.
Qualifications:
- Proven experience as an Executive Assistant or Personal Assistant, ideally supporting C-suite executives.
- Strong organizational and time management skills with the ability to multitask and prioritize effectively.
- Exceptional verbal and written communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), Google Workspace, and project management tools.
- Comfortable with technology integration and troubleshooting.
- High level of discretion and confidentiality.
- Ability to adapt to changing priorities in a fast-paced environment.
- A can-do attitude and a strong sense of initiative. Preferred Qualifications:
- Experience in project management or vendor relations.
- Knowledge of travel coordination, event planning, or office management.
- Prior experience with tracking KPIs or data analysis is a plus.
