Job Location: Remote

Job Type: Non-Exempt / Hourly

Compensation: $30 - $40  

Reports To: CEO

Job Description: The Contract Compliance Coordinator will be responsible for overseeing all aspects of client contract management, rate administration, service handling instructions, and database management. This leadership role ensures that client operations run smoothly, efficiently, and in alignment with company objectives. The ideal candidate will have a strong background in contract administration, document management, data management, and operational oversight, with a proven ability to streamline processes and foster client and internal stakeholder satisfaction. The responsibilities will include but are not limited to:

Essential Job Functions:

Client and Vendor Contract Management:

  • Support the drafting, review, negotiation, and execution of client and vendor contracts.
  • Establish and maintain a system for tracking contract milestones, renewals, expirations, and compliance requirements.
    • Vendor compliance examples include: Vendor agreement, Pricing agreement, Licensed States, License expiration, Insurance certificates, Insurance expiration, Investigator locations by zip code.
  • Ensure contracts align with company policies and legal standards.
  • Ensure appropriate document version controls.
  • Develop and maintain a contract compliance checklist to ensure all contract obligations are met.
  • Monitor deliverables, deadlines, and performance benchmarks outlined in contracts. (Expiration, COLAs, SLAs, Insurance, Stewardship Frequency, Executive Reviews, etc.)
  • Communicate with internal teams and clients to address compliance issues or discrepancies.
  • Conduct regular audits to verify adherence to contract terms and identify areas for improvement.

Client Rate Management:

  • Oversee the maintenance of client-specific rate structures.
  • Ensure accurate and timely updates to client billing rates.
  • Collaborate with finance, operations and sales teams to review and approve rate adjustments.

Client Instruction Management:

  • Create standardized processing of Client Instructions and change management.
  • Document and manage detailed client-specific service handling instructions.
  • Ensure all relevant departments are informed of and comply with client service protocols.
  • Conduct recurring audits of instructions and work with sales and operations teams to update and modify as necessary.
  • Facilitate transition of documents into case management database.

Client Database Management:

  • Oversee the organization and maintenance of a centralized client database.
  • Ensure proper set up of clients in databased (ACCPAC ID, Tax Status, Company Type, Reporting Requirements, Access, Surcharges, FIO Contact, Etc)
  • Implement and enforce data management best practices to ensure data accuracy and accessibility.
  • Monitor database systems and work with IT to ensure efficiency and troubleshoot issues as needed.

Sales Commission Rate Management:

  • Work with sales leadership to manage sales commission structures by client, ensuring accurate tracking and reporting.
  • Work closely with the sales leadership to implement and adjust commission rates as necessary.
  • Support development of Dynamics workflow to assist in commission rate management.
  • Track new case/client without assigned owner and commission directives.

Corporate Document Management and Version Control:

  • Establish and oversee a version control system for corporate documents.  Implement data consistency standards for company naming conventions and identify/eliminate duplicates with different conventions.
  • Ensure timely updates, storage and maintenance of revised documents.
  • Maintain compliance with company policies and standards.

Requirements: Candidates for this position must meet the following requirements:

  • Bachelor’s degree in business administration, operations management, project management or a related field. Minimum of 5 years of experience in client operations, project management, database management, contract management, or a similar role.
  • Strong understanding data management practices, and operational workflows.
  • Proficiency in CRM and document management systems (e.g., Salesforce, ShareFile, SharePoint).
  • Exceptional organizational, analytical, and problem-solving skills.
  • Excellent communication and interpersonal skills.
  • Ability to work independently with innovative and creative approach to problem solving.

Physical Requirements: This position requires the ability to perform the following physical tasks:

  • Capable of performing tasks that may involve sitting, standing, or moving for extended periods
