Frazer, a leading builder of emergency medical vehicles, is currently seeking a Billing and Invoicing Coordinator to join our team. This position will support the Sales Operations department and work closely with Sales, other departments, customers, and dealers to maintain accounts receivable. The Billing and Invoicing Coordinator is responsible for invoice generation, tracking payments, maintaining detailed records, resolving discrepancies and ensuring dealer payment terms are met. Supports the sales team in the administration of customer accounts.
This position is expected to actively live out Frazer Core Values while working with Frazer employees, vendors, and customers to help achieve team, department, and corporate goals. Responsible for learning and reinforcing safe and proper work procedures while actively following Frazer Safety programs and other policies outlined in the Employee Handbook.
What Does a Week in the Life of the Billing and Invoicing Coordinator
Look Like?
- Assists in preparing and generating invoices for customers and dealers.
- Tracks payment status and follow up on outstanding balances.
- Accurately records transactions in compliance with internal policies.
- Assists payments received and reconciling invoices.
- Helps ensure all billing documents are completed and filed properly.
- Generates weekly reports on accounts receivable and monitors outstanding balances.
- Assists in contacting customers for payment updates and resolving payment issues.
- Maintains documentation of customer interactions and payment records
- Responds to customer and dealer inquiries regarding invoices, payments, and billing issues.
- Supports efforts to resolve discrepancies in invoices and payments.
- Maintains accurate customer and dealer records in the ERP system.
- Assists in processing new customer documentation and updating ERP records.
- Ensures purchase orders, statements, and invoices are reviewed for accuracy.
- Helps organize and maintain accurate billing and sales documents.
- Supports sales representatives with customer account administration.
- Assists with updating Google Sheets and Syteline ERP as required.
- Provides backup support to the sales teams when needed.
Required Education and Experience:
- High School Diploma
- 1-3 Years of Related Experience
- Experience with Google Sheets or Microsoft Excel
- Knowledge of Basic Accounting Principles
Preferred Education and Experience:
- Associates degree
- Experience using Syteline
- Experience using CRM
- Google Suite (Sheets, Gmail, Documents)

Work Schedule
The Billing and Invoicing Coordinator will work Monday to Thursday 7:00 AM - 4:30 PM, Friday 7:00 AM - 11:00 AM afternoon/evening/weekend hours may be required as needed. Work schedules may change to accommodate production needs.
