The Frederick Coin Exchange is one of the area’s most trusted dealers in U.S. coins, gold & silver bullion & other collectibles. Frederick Coin Exchange is a member of all major coin and precious metals organizations. While our primary business is through wholesale rare coins and precious metals, we also buy and sell a variety of other rare and antique items.
The Personal Assistant will provide administrative and personal support to our busy executive based in downtown Frederick, MD. The ideal candidate will be proactive, detail-oriented, and capable of managing a variety of tasks efficiently. This role requires discretion, excellent communication skills, superior listening skills, and the ability to work independently. The successful candidate will need to have a working knowledge of Apple mobile devices, and personal computers to be able to fully support our senior level management team. Additionally, the successful candidate must have a personal vehicle, clear driving record, and the ability to run personal errands throughout the course of the work day.
ESSENTIAL RESPONSIBILITIES:
Coordinating calendar appointments, scheduling meetings, booking travel and accommodations.
Managing incoming and outgoing communications including emails, phone calls, and other forms of communication.
Organizing and booking events or special projects
Managing household tasks including ordering and delivery of supplies and coordinating with service providers.
Managing office supply orders and inventory for multiple locations.
Performing tasks as assigned to support the executive’s personal and professional life.
Performing personal and professional errands as needed
Additional duties as assigned
QUALIFICATIONS:
High School Diploma or equivalent
Preferred:
Bachelor’s Degree or equivalent.
Two years experience as a personal assistant or similar administrative role
SKILLS & COMPETENCIES:
Strong written, verbal, and quantitative skills
Execute effective time management/project management strategies
Versatility, flexibility, and a willingness to work within constantly changing priorities with enthusiasm
Acute attention to detail, ability to multi task
Discretion and confidentiality in handling sensitive information
Ability to work independently and as a member of various teams
PHYSICAL DEMANDS AND WORK ENVIRONMENT:
Must be able to sit for up to eight hours per day, type on the computer for several hours a day, talk on the phone frequently throughout the day, stand for up to 8 hours at events or offsite venues, and climb stairs multiple times throughout the day
Ability to lift 40 lbs.
Must be able to communicate effectively in the primary language(s) used in the workplace
Must be able to pass a background check and substance screening
Must own a vehicle and have an exemplary driving record
