ROLE - Payroll Specialist
Reporting To: Payroll Team Lead
The Payroll Specialist is responsible for supporting the full payroll cycle, encompassing preparation, documentation, disbursement, government tax reporting, HR, and benefits administration.
Primary Responsibilities:
Payroll Management:
- Process weekly payroll for up to 210 employees (Corporate, Prevailing Wage, and Union employees).
- Handle new hires, garnishments, raises, bonuses, tax and bank changes, reconciliations, W-2/W-2C preparation, and mandatory deductions.
Process Optimization:
- Ensure timely management of employee, third-party, and statutory payments.
- Maintain records for vacation, sick leave, and employment status.
- Calculate retro pay, temp rates, and taxes for manual checks.
Employee & Compliance Support:
- Address payroll and benefits inquiries via email, phone, or in person.
- Prepare reports (e.g., certified payroll, Union, OSHA, Affidavits) and maintain compliance with government requirements.
- Coordinate union and state payroll audits, enrollments, and manage apprenticeship employees.
Additional Duties:
- Mitigate union liquidated damages fees.
- Oversee Worker’s Compensation documentation and OSHA logs.
- Coordinate terminations, final checks, and exit interviews.
- Process employment verifications and manage personal/confidential documents.
- Write procedure booklets and handle other tasks as requested by management.
REQUIREMENTS
Education & Certification:
- American Payroll Certification strongly preferred
- Bachelor's Degree preferred but not required
Experience:
- 3 or more years in payroll and benefits administration (construction and certified payroll experience is an asset).
- Familiarity with payroll legislative changes and employment standards in Oregon, California, and Washington.
Skills:
- Attention to detail, organization, and analytical skills
- Interpersonal, conflict management, and mediation abilities
- Proficiency in MS Office Suite (Word and Excel); experience with ADP & American Contractor systems preferred
- Fluent in English; conversational Spanish preferred but not required
The salary for this position is up to 65,000 per year plus benefits and a bonus of up to 5% paid out annually. Our client offers a highly flexible environment. During the training period on-site 5 days a week will be required but after getting time in role and solid understanding of processes this position has the option to shift to hybrid with 3 days in office and 2 days remote.
