Overview :
We are seeking an Executive Assistant to provide administrative support to leadership team members in the IT Department and the Office of General Counsel. This role will focus on performing a variety of administrative duties to ensure smooth operations and effective collaboration within the departments. The ideal candidate will have exceptional organizational skills and the ability to manage multiple priorities in a fast-paced, client-oriented environment.
Key Responsibilities Include :
- Perform administrative duties, including typing, drafting routine letters and memos, drafting presentations, proofreading, initiating calls, opening mail, triaging and filing emails / documents, taking meeting notes, and scheduling and coordinating meetings.
- Schedule internal and external meetings (e.g., in-person, Microsoft Teams, Zoom, or teleconference) and coordinate various department meetings, including Privacy & Security Committee meetings.
- Attend meetings as requested, compile notes, circulate meeting notes, and follow up on tasks.
- Coordinate special department events.
- Submit expenses and vendor invoices electronically in Chrome River for timely payment and update the budget tracking spreadsheet.
- Assist with business travel arrangements, including conference registration, hotel and flight bookings, and other accommodations.
- Maintain and update department email distribution lists.
- Assist with tracking, coordinating, and managing department projects and expenditures.
- Track and report metrics on department operations and performance.
- Participate in software and other training to enhance skills and stay updated on relevant tools.

This position offers a hybrid work model, requiring 3 days in the Minneapolis office each week.

The salary range for this position is between $70,000 and $85,000. Compensation offered will depend on the candidate's experience, skills, education, professional background, overall qualifications, and geographic market location.
