We are looking for a Medical Assistant/Surgery Scheduler to join our team and play a key role in ensuring a seamless patient experience—from scheduling to post-procedure follow-ups.
Position Overview:
This role combines clinical and administrative responsibilities, requiring both medical assistant expertise and scheduling coordination. You will be the primary point of contact for patients throughout their journey, ensuring they feel supported before, during, and after their procedures.
Key Responsibilities:
- Schedule procedures and post-op appointments.
- Submit insurance authorizations and follow up as needed.
- Perform post-procedure check-in calls to ensure patient well-being, answer questions, and provide support.
- Send procedure reminders and follow-up texts to improve patient engagement.
- Communicate with patients who are considering procedures, building and nurturing relationships to support their decision-making process.
- Track and manage cancellations, reschedules, and no-shows.
- Document all interactions in EMR (eCW) and CRM (GoHighLevel) for continuity of care.
- Follow up on ‘jelly beans’ (pending tasks) and assist with patient needs.
Qualifications:
- Medical Assistant certification (preferred but not required).
- 1 year of experience in a medical office or scheduling role.
- Familiarity with EMRs (eCW experience is a plus).
- Strong communication skills with a compassionate, patient-focused approach.
- Ability to multitask in a fast-paced environment while maintaining attention to detail.
