Summary
The Billing Coordinator serves the Shared Services organizations and our customers in the client specific billing of our products and services. This role interacts with Freeman branches across the U.S., the Sales Finance team and internal Finance Managers and Accounting to ensure correct billing information, creation of exhibitor / show files (pre and post shows), and compliance with standards for billing. The position is responsible for the processing of invoices, ad hoc department reporting, and analysis / administrative creation of customer accounts.
This position will support our Finance team. It is eligible to work a hybrid schedule, generally requiring work in-office 2-3 days per week. This position is based out of Dallas, TX.
Essential Duties & Responsibilities
- Ensures timely, accurate and complete billing of various revenue lines. This includes invoicing of various complexities of invoices from systems, and departments.
- Ensure billing is performed timely and provided to customers.
- Checks customer files in accordance with established procedures. Produces timely client specific invoices for products and services within tight 'days to invoice' timeframes that are compliant with our metrics / productivity standards.
- Reviews and analyzes customer contracts to make sure we are billing in compliance with legal documentation.
- Bills and routes invoice drafts working with sales and operations to ensure that the invoice draft is accurate and confirmed / approved. Submits invoices to many different portals for payment and follows up with customer and or account team. Tracks customer portal PO's then advises sales if changes are needed.
- Interfaces with show site personnel, sales, clients, vendors, operations, and other internal colleagues to compile accurate billing records and effectively solicit timely information for billing processing and completeness.
- Works with AR and Credit and Collections Departments to reconcile the clients' accounts.
- Analyzes and corrects billing discrepancies.
- Creates, maintains, and ensures full record keeping of client / exhibitor billing and customer data are accurate and secure per Company policy.
- For void and reissue, ensures the revised invoices are prepared consistent with all invoicing standards, aligns to the AR balances, and are re-issued with specific instructions on their use to the requestors.
- Works with Billing Analysts to support volume of requests where needed; ability to be flexible in the day to day.
- Assists Billing Supervisor in setting up customer accounts within SAP.
- Creation of departmental Power Point decks and reporting; collaboration with other team members.
- Performs duties in compliance with Freeman policies, procedures and regulations.
- Acts as a backup for the supervisor / manager in specific duties.
- Perform other duties as assigned.
