Purpose
To support the administrative and office activities of the corporate location of Confie. Be highly organized, take initiative to solve challenges, and effectively communicate and follow-up
Essential Duties & Responsibilities
Answer general phone inquiries using a professional and courteous manner
Direct phone inquiries to the appropriate staff members
Reply to general information requests with the accurate information
Greet clients / suppliers / visitors to the organization in a professional and friendly manner and alert employee who is being visited
Manage shipping and receiving; accept packages and send an email for any incoming packages, distribute mail to the appropriate person, coordinate shipping (pack, schedule), receive and distribute mail
Ensure the office is orderly and neat to always present a professional working environment
Provide parking validation, reconcile, and create a report for accounting
Ensure the conference room is in an orderly manner, ready to use (computers, projectors, cables, etc. are available as needed) and appropriately stocked with beverages. Resolve scheduling conflicts
Manage the building relationship by writing, distributing, and explaining building memos, requesting A / C overtime, etc.
Data entry as needed
Qualifications and Education Requirements
Highly organized and attentive to details
Effective planning and time management skills
Demonstrate the ability to multi-task, set priorities, and meet multiple deadlines in a fast-paced environment
Ability to follow up and follow through
Excellent customer service skills - must be welcoming, friendly, and with strong interpersonal skills
Excellent computer skills, including Microsoft Word, Excel, PowerPoint, and Outlook mail and calendar
Ability to communicate professionally and respectfully in writing, on the phone, and in person
Reliable, punctual, detail-oriented, highly organized, self-starter, strong initiative, quick learner
Minimum 3 years of office experience, including secretarial, reception, and computer
Ability to maintain professional appearance and behavior
Proficiency in the use of computer programs for word processing, spreadsheets, e-mail, internet
Proficiency in the use of office equipment; computer, voice messaging systems, fax, photocopier, scanner
Preferred Skills
Bilingual in English-Spanish preferred
