Position Overview
The Human Resource Payroll Specialist is responsible for performing a variety of tasks related to the accurate processing of payroll, reporting, benefit processing, and employee support.
Essential Functions
Payroll
- Processes bi-weekly payroll for 300 employees with a quick turnaround time, validating completeness and accuracy of data
- Calculates and processes garnishments, including communications with the authority in question and payment remittance; communicates with employee impacted
- Works with payroll provider and HR Department to implement new laws that impact payroll as they arise
- Calculates off-cycle paychecks
- Processes Associates paid time off requests and bereavement pay
- Ensures compliance with other states’ payroll laws and tax filings (mostly managed by Paychex, yet requires some attention); applies for new state tax ID numbers as needed
- Other payroll duties including but not limited to: adding missed hours, processing terminations, bonuses (retention, referral, and other miscellaneous), retro-payments, insurance pre-payments, deductions for loss/replacement of company property, check sorting/distribution
- Prepares and submits payroll and benefits journal entries and monthly payroll accruals to Accounting
- Provides ad hoc reports as requested
Benefits
- Manages all benefit enrollments (including ensuring correct deductions and issuing General Rights Notices) and terminations (including COBRA)
- Ensures deductions are correct (ie - rehires don’t have any pre-existing benefit deductions)
- HSA Administration: Uploads HSA contributions to portal each pay period, creates new HSA Accounts
- Spearheads Open Enrollment & new benefit roll-out efforts
- Participates in preparing annual 401(k) census and audit including annual filing of Form 5500
- Participates in preparation for annual ESR Reporting under the ACA
- FMLA & PFML Processing
- Assists in Unemployment Benefits-related tasks
Other duties as assigned, including but not limited to:
- Employment verification requests
- Labor Law Compliance, including annual posters
- Employee relations
- Performs back-up support for HR Generalist
- Assists in coordinating involuntary terminations
- Recruiting, including but not limited to Logistics, QA, Maintenance
- Assists in planning/coordinating employee events
Education, Experience, Skills & Knowledge
- 2 years payroll or accounting experience
- Experience running reports
- HRIS system experience a plus
- Employment Law experience a plus
- Benefits administration experience a plus
- Internal customer service experience a plus
- Bilingual English/Spanish a plus
- Associate’s or bachelor’s degree in HR, business or accounting preferred
- Strong computer literacy including Microsoft Office applications and payroll software programs
- Good understanding of the common fiscal procedures
- Excellent verbal and written communication skills
- Proven experience in a payroll position in a fast-paced environment
- Knowledge of tax and wage laws, a plus
- Exceptional multitasking and organizational skills
- Able to consistently meet deadlines
- Able to work effectively with minimal supervision
- Strong numerical aptitude and attention to detail
- High level of confidentiality required
