Position Summary
Anticipated hiring hourly range : $22.00 - $25.50 per hour
The Event Production Coordinator is essential in organizing and preparing university venues for a variety of events, such as meetings, conferences, performances, and special functions. This role collaborates closely with the university events team to ensure all activities align with the institution's mission and objectives. Key responsibilities include managing event logistics, cultivating vendor relationships, and overseeing all phases of event execution, from initial planning to post-event review. Strong communication with stakeholders-including faculty, staff, students, and external guests-is crucial for delivering outstanding event experiences. Additionally, the supervisor designs, sets up, and operates staging, lighting, and audio / visual elements while also handling room layouts and inventory for event resources. This position requires excellent organizational skills and the ability to juggle multiple projects independently.

Duties :
Collaborates and provides support in the planning of events from initial conception through execution and post-event evaluation.Design, fabricate, and operate staging, lighting, and audio / visual set-ups. In addition, this position will design, manage, and maintain event resources such as room layouts and stage plots.Collaborate with campus departments to coordinate event operation resources and details, providing insight into optimal designs, layouts, and aesthetics for events.Ability to communicate and manage expectations with various stakeholders, including students, staff, faculty, and guests of the university.Manage and assist with the set-up, tear-down, operation, maintenance, storage and inventory control of lighting, sound and special effects equipment, staging, tents, tables and chairs and other event-related equipment.Manage large scale events and multiple priorities as well as follow directions and procedures.Effectively schedule and supervise workers including student and volunteer staff, performing on-site work (A / V, lighting, etc.) in support of events, including after-hours.Manage internal billing and financial reporting for the operation of events while assisting in budget oversight, providing financial and usage data of funds to the Director of University Events as needed.Assists in designing and purchasing sound, lighting, A / V and other equipment for various buildings and locations on campus.Facilitates and coordinates the use of outside vendors for event related purposes and ensures vendor compliance with university policy and procedure.With direction from the Director of University Events, implement new procedures to help optimize and streamline event planning processes and policies.Demonstrate strong organizational skills, attention to detail, and the ability to effectively manage multiple priorities and complex projects concurrently.Ability to work with minimal supervision and exercise good judgment in decisions.Be service oriented and work in collaboration and consultation with other departments.Perform and supervise specialized training of staff, contractors, and volunteers.Must be flexible and able to handle and work with interruptions.Collaborate with Events Coordinator to ensure the successful execution and function of event processes.Complete tasks timely with work that is comprehensive, complete, and accurate.Communicates clearly, listens attentively, and seeks to understand others.Able to work various shifts, including nights, weekend and holidays as required.Other duties as assigned.Qualifications
Required :
Minimum five years' experience in stage management, theater production or special event set-up and operations.Minimum 2 years' experience in a supervisory role or position.Proficient in using standard office software, such as Word, Excel, and OutlookCustomer service orientation and the ability to communicate effectively and in a warm, professional mannerAttendance and punctuality.Strong communication and interpersonal skills.Familiarity and knowledge of event technology, including sound / lighting, live streaming, and event registration platforms.Adept experience in lighting and sound systems, staging and scenery.Ability to travel as necessary for out-of-town appointments, meetings, and conferencesValid California driver's licensePreferred :
Bachelor's DegreeFamiliarity and knowledge of ASTRA scheduling software.Familiarity and knowledge of FileMaker Pro software.Environmental Conditions :
