Position Summary :
The Professional Development ("PD") & CLE Assistant assists with coordinating training and professional development opportunities for the attorney and business services populations; serves as a primary contact for attorneys for their Continuing Legal Education (CLE) compliance; and provides support as needed to all professional development functions. The PD Assistant plays an integral role in shaping the learning, development, onboarding, and training curriculum to foster an environment of learning, leadership development, and employee excellence. The Professional Development & CLE Assistant reports directly to the Director and the Managers of Professional Development and will interact regularly with attorneys, directors, managers, and other business services personnel across multiple departments and locations.
Duties & Responsibilities :
- Assist with the administrative tasks for all internal attorney and business services education programs including communicating with presenters, serving as a liaison for multiple offices, sending invitations, tracking RSVPs, handling room logistics, and reproducing and distributing program materials
- Assist with administrative tasks for in-house teleconferences and webcasts offered by outside providers including sending invitations, tracking RSVPs, handling room logistics, reproducing and distributing program materials
- Create files for each education program; input all course and attendee information for in-house and client training programs into the firm's Continuing Legal Education ("CLE") tracking database, Micron CE Manager
- Enter and file course and attendee information for outside provider CLE course certificates
- Maintain attorney CLE records in Micron, including creating accounts for new attorneys and deactivating departing attorney accounts. Prepare departure CLE records for departing attorneys
- Administer and update the PD Department's online activities (both internally and on social media, as appropriate) to ensure they remain current, including the maintenance of course materials / videos in Micron CE Manager
- Monitor NY CLE compliance and attorney registration status for attorneys including fielding CLE questions, identifying internal and external CLE opportunities, completing CLE extensions, and answering compliance questions
- Maintain attorney roster with the Practicing law institute ("PLI")
- Process and monitor attorney registrations at external CLE programs
- Apply for CLE credit approval in jurisdictions outside of NY as needed
- Maintain log of attendance for education programs
- Handle CLE requests for clients
Update the firm-wide calendar with professional development events
Qualifications :
Education : Bachelor's Degree
Experience : 1-3 years of related administrative experience working in Training and Development function within Financial Services, Professional Services, or a Law Firm environment. Working knowledge of CLE processes strongly preferred.
Skills and Abilities : Must be detail oriented and produce work product with a high degree of accuracy. Must exhibit strong written and oral communication skills. Must have strong interpersonal skills and ability to act in a professional manner at all times. Exhibits strong organizational skills and demonstrates the ability to handle and prioritize multiple assignments effectively. Ability to work effectively under pressure with interruptions and tight deadlines. Ability to use independent judgment, problem solve, take initiative, and follow through. Ability to get work done through others. Ability to work positively with a wide variety of audiences and personality types, including partners, attorneys, directors, managers, supervisors, and administrative staff. Proficiency with Microsoft Office Suite, internet research, and database skills required. Knowledge of learning management systems, Micron CE Manager, and viDesktop a plus.
The actual salary offered will be based on a number of factors including but not limited to the qualifications of the applicant, years of relevant experience, level of education attained, certifications or other professional licenses held, and if applicable, the location in which the applicant lives and / or from which they will be performing the job.
