Job Summary & Objectives
The Professional Development Administrative Assistant is responsible for providing administrative and office support functions to the Professional Development Leads (“PD Leads”) within each practice group. Responsibilities include, but are not limited to, assisting with the maintenance of assigning documents, tracking mentoring, helping with administrative tasks for event planning and other talent engagement initiatives. This role will work closely with PD Leads for each practice group and the Associate Director, Professional Development.

NY Only: The estimated base salary range for this position is $55,000 to $70,000 at the time of posting.
The actual salary offered will depend on a variety of factors, including without limitation, the qualifications of the individual applicant for the position, years of relevant experience, level of education attained, certifications or other professional licenses held, and if applicable, the location in which the applicant lives and/or from which they will be performing the job. This role is non-exempt meaning it is overtime pay eligible.

Responsibilities include, but are not limited to, assisting with the maintenance of assigning documents, tracking mentoring, helping with administrative tasks for event planning and other talent engagement initiatives. This role will work closely with PD Leads for each practice group and the Associate Director, Professional Development.
Essential Job Duties & Responsibilities
- Assist PD Leads with updating staffing databases and assigning documents.
- Help maintain calendars for associate vacation schedules.
- Assist PD Leads with processing Chrome River expenses.
- Assist with Mentoring & Engagement Related administrative tasks.
- Assist PD Leads with logistics with conference facilities, food service and technology for departmental lunches and team building/mentoring related events within each group.
- Maintain practice group and other relevant email lists.
- Assist with logistics as needed for practice-specific training programs during STBReady and STBAdvance.
- Provide PD Lead assistance during peak periods, including our new associate orientation and practice group events at year-end.
- Assist with regular reporting requirements to support the PD Lead team, as needed.
- Assist Legal Talent Team seasonally, as needed.
- Perform other relevant duties as assigned.
Required
- High School diploma or GED equivalent required
- Bachelor’s Degree preferred
SKILLS AND EXPERIENCE
- At least 2 years of relevant, equivalent experience
- Proficiency in MS Word and Excel; familiarity with MS Outlook Suite
- Strong interpersonal and organizational skills and attention to detail
- Ability to organize, prioritize and multi-task projects in a high pressure environment
- Client-focused with the ability to provide customer service in a professional manner
- Ability to use confidentiality and discretion in relaying information
