Compensation:
Friends For All believes in compensating our employees fairly and we look at both internal and external salary analysis. The range listed is an estimate as it looks at the total compensation package as well as factors such as skill sets, training, education and organizational needs. It is not typical for an individual to be hired at or near the top of the salary range as this gives the employee a chance to grow into the role.

SUMMARY:
The Clinical Supervisor at Friends For All Corporation will oversee daily clinical operations of medical services and lab operations, ensuring regulatory compliance and driving continuous improvement in access, quality, and efficiency of services.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Supervise the day-to-day operations of clinical services in compliance with funder regulations.
- Supervise daily operations of the laboratory, including specimen processing, testing, and reporting of results.
- Ensure that laboratory equipment is properly maintained, calibrated, and operated according to manufacturer specifications and regulatory requirements.
- Collaborate closely with the contract Lab Director to oversee and manage general laboratory operations.
- Facilitate mandated review of medical charts and lab results with Lab Director as required.
- Assist in development and implement protocols and procedures to optimize laboratory and clinical workflows, minimize errors, and maximize efficiency.
- Create and maintain accurate records of floor stock medications, HIV/PrEP starter packs, including patient demographics, pack contents, and distribution dates, using electronic medical record (EMR) or inventory management systems.
- Participate in weekly interdisciplinary staff meeting with Clinical Services staff, Pharmacist in Charge, Medical Support Services, The Haven Manager and Clinical Services Manager to ensure general continuity of services and promote collaboration.
- Identify and implement staff training needs to ensure proficiency and technical competencies for clinical activities.
- Develop educational materials and training guides for clinical practices, incorporating scientific principles and evidence-based practices.
- Ensure compliance of regulatory requirements standards in healthcare, such as HIPAA and OSHA regulations.
- Ensure orders are received from other clinical staff including point-of-care tests (e.g., rapid HIV tests), laboratory supplies and equipment, and any other supplies/clinic needs, as needed.
- Ensure weekly inventory of lab/medical supplies and equipment and submit orders to replenish items in a timely manner (includes test devices).
- Ensure all mandated reporting to the Shelby County Health Department, Tennessee Department of Health, and NBS (e.g., report HIV patients within 72 hours) is done in a timely and accurate manner.
- Identify and address any barriers to patient care and notify licensed provider of patient concerns.
- Provide relevant health education, risk reduction counseling, and treatment adherence counseling.
- Identify gaps in functionalities needed for the EMR system, including client data management, medical billing, pharmacy, and lab information.
- Complete proper and timely documentation of services in writing and in Athena, CAREware, Evaluation Web, Redcap, Apricot, and any other database, as required.
ADDITIONAL DUTIES AND RESPONSIBILITIES:
- Provide wound care and changing dressings as delegated by medical provider as needed.
- Contact patients about reactive lab results and schedule STI treatments as needed.
- Administer injectables for treatment as directed by medical provider as needed.
- Contract laboratories (AEL, LabCorp, and ect) point-of-contact (e.g., confirm lab orders, make order changes, etc.) as needed.
- Regular and predictable attendance is required
- Return all calls, emails and text in a timely manner.
- Participate in weekly or biweekly coaching sessions with supervisor
- Complete Performance Reviews and SMART GOALS
- Participate in All Staff Meetings and In-Service Days
- May need to travel in personal vehicle to meet staff, clients, or community partners at FFA locations or at other locations to meet the needs of the position
- Duties and responsibilities may be added, deleted or changed at any time at the discretion of management, formally or informally, either verbally or in writing.
- Provide direct supervision of Medical Assistants (2) and Phlebotomy/ Lab Techs (2) to ensure they meet all requirements.
- Ensure Standard Operating Procedures (SOPs) for all relevant laboratory and clinical processes are regularly reviewed and updated.
- Ensure adherence to customer service policies and procedures to ensure a consistent and high-quality experience for patients, clients, and stakeholders.
- Ensure that staff members adhere to safety protocols, infection control practices, and ethical standards in laboratory operations.
- Complete routine quality audits to ensure timeliness and accuracy of staff completion of data into all applicable databases.
- Prepare all necessary documentation and materials for routine internal and external audits of programs.
- Ensure compliance with audit requirements and standards.
- Coordinate with internal and external audit teams to facilitate smooth and efficient audit processes.
- Determine root causes of challenges that interfere with client care and staff productivity and develop recommendations for improvement.
- Select, manage, and train direct team
- Implement weekly coaching sessions and professional development plans with supervised employees to meet expectations and development objectives. Provide signed weekly written staffing sheet to the employee every week.
- Work with HR on employee relations and staff issues including onboarding, performance management, development and off-boarding.
- Participate in Manager Training as required
- Maintain a professional relationship with staff and maintain confidential information
- Submit quarterly/monthly reports by the 5th day of each program quarter/month as assigned.
QUALIFICATION REQUIREMENTS:
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.
- High School Diploma or GED equivalent
- Minimum 5 years’ medical clinic/office experience in a clinical laboratory setting with direct oversite of staff required.
- Minimum 5 years’ experience as certified medical assistant and phlebotomy/lab technician.
- Experience with AthenaOne EMR, preferred
- Proficiency in laboratory information systems (LIS)
- Good strategic/critical thinker, self-starter, goal-oriented
- Excellent verbal and written communications. Ability to operate with purpose, urgency and accuracy in a fast-paced, deadline-driven environment

- Ability to work with a diverse client population
- Strong relationship-builder both with team and clients (internal and external)
- Ability to follow verbal and written instructions.
- Proficient with Microsoft Office Suite or related software
- Ability to define problems, collect data, establish facts, and draw valid conclusions
- Maintain confidential information and adhere to all Friends For All policies and procedures regarding sharing of financial information and Protected Health Information (PHI).
CERTIFICATES, LICENSES, REGISTRATIONS:
- Must be Certified Medical Assistant.
- Must be Certified in CPR and First AID.
- Certification as a Medical Laboratory Scientist (MLS) or Clinical Laboratory Supervisor (CLS) by ASCP, AMT, or an equivalent organization. (preferred)
- Must have a valid State Driver’s License, provide proof of automobile insurance coverage to employer at all times and have an automobile to be used daily.
