Friends for Life is a locally owned and operated Non-Medical Home Care Agency that serves the Denver-Metro area. We are looking for a dynamic self-starter to be our Scheduling Coordinator to oversee all scheduling in the Denver-Metro and surrounding area. We hope to find a candidate who will help us continue to focus on high-quality, consistent care for Clients while nurturing Caregiver retention and relationships, etc.
The Scheduling Coordinator is responsible for upholding the Friends for Life Mission & Vision by overseeing and maintaining Client and Caregiver schedules and supporting the overall quality of care with Caregiver matching and consistency. This position is key for supporting the Care Team by keeping up-to-date Caregiver availability and matching criteria, seeking out best-fit Clients, and ensuring Caregiver satisfaction with assigned Clients.

Responsibilities Include, but may not be limited to:
- Schedules shifts by matching Caregiver qualifications and availability to Clients’ needs and desired schedules, focusing on long-term consistency
- Daily monitoring of shifts to ensure timely attendance of staff
- Promptly respond to/problem-solve situations involving scheduling conflicts, emergencies, and call-offs
- Prompt and thorough communication with Clients, families, and Caregivers regarding schedules
- Communicate with current & new Caregivers, and monitor ongoing, staff availability, schedule changes, matching criteria, and scheduling expectations
- Thorough documentation of tasks, changes, conversations, and necessary follow-up in Wellsky (online platform)
- Works with Care Team Managers regarding staff, Clients, scheduling, etc. issues
- Responsible for Caregiver time-off requests review and processing
- Verify appropriate billing & payroll rates are assigned to all shifts
- Send out Client calendars per preferred frequency
- Upholds and enforces company policies and procedures
- Quarterly Reviews and Projects per company need
- Promotes Caregiver and Client retention
- Participate in On-Call rotation, as needed
Qualifications:
- 2 Experience as a Scheduler, preferably in Home Care, required
- 2 years of administrative support experience, ideally in-home care or medical office setting
- Competent knowledge of Microsoft Office and ability to become proficient in our specialized scheduling software (Wellsky Personal Care)
