The Administrative Assistant at Friendship Academy plays a vital role in supporting the daily operations of the Academy by assisting with administrative tasks, maintaining records, and ensuring smooth communication with staff, parents, and external parties. This role requires attention to detail, strong organizational skills, and the ability to handle multiple responsibilities in a dynamic environment.

Description

Key Responsibilities:
  • Administrative Support & Operations:
    • Answer phones and address inquiries, redirecting them to the appropriate staff when necessary.
    • Perform general filing and maintain an organized system for physical and digital records.
    • Scan and send bills to CFO for processing.
    • Order supplies as needed to ensure the Academy is stocked with necessary materials.
    • Schedule visits for prospective families or external stakeholders.
    • Assist with other duties as assigned to support the efficient operation of the Academy.
  • Student & Enrollment Management:
    • Prepare and maintain enrollment packets for new and returning students.
    • Set up new students in Brightwheel and ensure all necessary documentation is entered correctly.
    • Keep the Emergency binder updated with current student information.
    • Update daily attendance in Brightwheel and notify teachers of any discrepancies or updates.
    • Verify sign-in and sign-out sheets for accuracy, addressing any missing or incorrect entries.
  • Curriculum & Lesson Planning:
    • Post and distribute the curriculum newsletter via Facebook, Brightwheel, and the parent board in the office.
    • Apply lesson plans to Brightwheel and print lesson plans for teachers and staff.
  • Parent & Community Engagement:
    • Assist in planning and coordinating parent engagement events to foster community involvement.
    • Prepare birthday bags for students and distribute them as part of their celebrations.
    • Manage social media updates to keep the Academy's online presence current and engaging.
  • Health & Safety Compliance:
    • Maintain and update the MSDS (Material Safety Data Sheet) binder to ensure compliance and safety standards.

Qualifications:
  • Strong organizational and multitasking skills.
  • Proficiency in Microsoft Office Suite and Google applications.
  • Experience with Brightwheel or similar software is a plus.
  • Excellent communication skills, both written and verbal.
  • Ability to maintain confidentiality and handle sensitive information.
  • Detail-oriented with the ability to manage multiple tasks efficiently.
  • Strong customer service orientation and interpersonal skills.
  • Previous administrative experience in an educational or childcare setting preferred.

Working Conditions:
  • Full-time: Monday to Friday
  • Hours: 11:30am - 5:30pm
  • On-site position at Friendship Academy.
  • Interaction with staff, parents, and students in a dynamic, fast-paced environment.
