Administrative Assistant/Receptionist Job Description
Position Overview:
We are seeking a dedicated, friendly, and organized Administrative Assistant/Receptionist to provide vital support to our management team while maintaining smooth front desk operations. This role requires excellent multitasking abilities, light clerical skills, and a proactive approach to administrative duties.
Responsibilities:
- Provide administrative support to key members of the management team.
- Greet guests and employees, answer multi-line phones, and direct calls to appropriate parties or take messages as needed.
- Filter spam and junk calls efficiently to minimize disruptions.
- Welcome guests with refreshments/snacks upon arrival to the facility.
- Advise all guests and customers about current COVID-19 protocols; ensure proper cleaning of door handles, pens, and counters after guest visits.
- Assist in coordinating company travel reservations.
- Scan, rename, and organize accounts payable (AP) and accounts receivable (AR) accounting files.
- Manage scanning and organization of work order and job completion files.
- Photocopy and print documents on behalf of the management team in preparation for meetings and/or project-based assignments.
- Assist with project-based assignments
- Draft, write, and edit documents such as reports or communications for management.
- Assist team members as needed with various tasks.
- Maintain a clean, organized, and presentable front desk and lobby area for guests.
- Prepare meeting rooms with safety glasses, notebooks, pens, snacks, and refreshments prior to guest arrivals.
- Stock the refreshment cooler and coffee area for guests.
- Assist in organizing company parties and events.
- Decorate the main entrance, lobby, and common areas for seasonal or holiday themes.
Qualifications:
- Strong organizational skills with the ability to efficiently and courteously assist clients and colleagues.
- Excellent active listening skills and a customer-focused mindset.
- Energetic work attitude with a strong sense of teamwork.
- Proficiency in Microsoft Word, Excel, and Outlook.
- Experience handling a multi-line phone system.
- Valid driver's license required.
- Ability to dress in business casual attire to maintain a professional appearance.

Job Type: Full-time
Pay: $18.00 - $22.00 per hour
Expected hours: 40 – 50 per week
